Job Description:

JOB PURPOSE

The Regional People & Culture (P&C) Coordinator plays a pivotal role in supporting the operational effectiveness and digital transformation of P&C functions across the region. Reporting to the Regional P&C Director, this role ensures the integrity of employment data, supports compliance and payroll processes, and leads the implementation of digital tools and systems such as Workday and AI-powered solutions. The coordinator also provides technical support, drives data analytics, and fosters innovation to enhance the employee experience and operational efficiency across regional and national offices.

KEY RESPONSIBILITIES

Operational Support to Regional Office (RO)

Under the supervision of the Regional P&C Business Partner, provide the support in the following areas:

Maintain and regularly update employment records for all staff, including personal information, job changes, salaries and benefits, holidays, international assignment (IA) benefits, separations, etc., in both Workday (WD) and P&C Drive for regional staff and National Directors (NDs) across the region.

Prepare timely reports and provide accurate employment data regional staff and NDs to the Regional People & Culture (P&C) Director as needed.

Conduct the initial review of payroll and benefits payments for regional staff based in Bangkok (BKK) and Global Centre (GC) staff hosted by the Regional Office (RO), in coordination with RO Finance.

Perform regular checks and reviews to ensure that salaries and benefits for regional staff are properly budgeted, paid, and accrued in compliance with applicable laws and internal policies. This includes IAs, regional staff based in BKK, those hosted by other offices, and employee-consultants, in collaboration with GC Payroll, hosting office P&C teams, and RO Finance.

Support the recruitment process, preparation of contracts and amendments, onboarding, orientation, and separation/transfer procedures, in coordination with the host office.

Assist in organizing staff care and engagement activities for regional staff, such as long service awards, Staff Care Week, birthday celebrations, fellowships, town halls, Day of Prayer, and other initiatives.

Under the supervision of the Regional Senior People and Organizational Capability Advisor, provide the support in the following areas:

Track and support to ensure all RO and FO staff including new hires complete all Compliance training courses and Mission Immersion Program as required.

Provide administrative support for Regional P&C events including leadership training and P&C forum.

Operational Support to Field Offices (FOs)

Track and support to ensure the Misconduct Disclosure Scheme is implemented across the offices for eligible cases in the region.

Track and support to ensure that 100% staff, consultants, interns, trainees are screened in Block Party Screening System across all the Offices in the region.

Track and support to ensure Labour Distribution Report (LDR) are completed timely across all the offices where P&C oversees LDR.

Workday Super-User & P&C Data Analytics

Support FOs in the rollout and adoption of Workday modules, including Employee Data, Recruitment, Performance, Talent Management, Learning, and Payroll.

Conduct regular data audits and provide technical support to ensure data quality and integrity across all Workday modules.

Troubleshoot Workday-related issues across the region and coordinate with the Workday Operations Team for unresolved technical matters.

Prepare quarterly P&C dashboards, RO KPI reports, and coordinate other key reports such as Measures That Matter and Workforce Demographics.

Assist the Regional P&C Director and Business Partner in generating data analytics using Workday and other data sources.

Facilitate a community of practice for Workday focal points and super users across the region to promote knowledge sharing and continuous learning.

P&C Digital Transformation

Drive the adoption and integration of digital tools and platforms to enhance P&C operations across the region.

Champion a culture of innovation and continuous improvement in digital practices.

Coordinate the roll out of new Workday functionalities such as Dynamic Document for contract management, Onboarding Packages, etc.

Lead the rollout and usage of tools like HiPeople for automated reference checks and other digital HR solutions.

Evaluate and recommend additional tools to support recruitment, onboarding, and employee engagement.

Identify manual or repetitive P&C processes and implement automation solutions to improve efficiency and accuracy.

Collaborate with IT and other stakeholders to ensure secure and scalable automation.

Use AI-powered tools to analyse P&C data (e.g., turnover trends, engagement metrics, DEI indicators) and generate actionable insights.

Develop and maintain a library of standard AI prompts to support common P&C tasks

Train and support the regional P&C team in using AI tools effectively and ethically.

QUALIFICATIONS FOR THE ROLE

Bachelor's degree in Human Resources, Business Administration, Organizational Development, Information Systems, or a related field.

Minimum 3–5 years of experience in HR operations, HRIS systems (preferably Workday), or P&C coordination roles in a regional or international context.

Proven experience in managing HR data, payroll coordination, and compliance tracking.

Experience in digital transformation initiatives, including automation and AI tools, is highly desirable.

Strong understanding of P&C processes across the employee lifecycle (recruitment, onboarding, payroll, performance, separation).

Proficiency in Workday or similar HRIS platforms, with the ability to support system rollouts and troubleshoot issues.

Familiarity with digital HR tools (e.g., AI prompt tools, document automation platforms).

Strong analytical skills with the ability to generate insights from P&C data and prepare dashboards/reports.

Excellent organizational and coordination skills, with attention to detail and accuracy.

Strong interpersonal and communication skills, with the ability to work collaboratively across cultures and functions.

High level of integrity and ability to handle sensitive information with confidentiality.

Strong written and oral English language skills is a must
