Role Purpose

The IFM PMO Lead will spearhead critical projects and programs across multiple business units and geographies. The ideal candidate will possess a strong aptitude for detail, enabling them to develop and execute data-driven strategies that enhance productivity, efficiency, and client satisfaction within a dynamic and fast-paced account.This role requires a strong understanding of project management methodologies, as well as a solid understanding of facilities management principles.Providing technical advice and expertise to Work Dynamics leads, Account Directors and clientsDriving increased revenue for Work Dynamics across client portfolioBe the primary contact for transition and mobilisation of new project/ program roles and accounts.Role Requirements
Coordination of the performance and governance of complex and multi-discipline GRE projects. The role is responsible for ensuring all projects (large and small, planned or unplanned) stay on time, on budget, and ensure the right stakeholders are engaged throughout the process.Ensure that all projects have a developed project plan and resource needs with management to assign/obtain needed resources for project success.Advise on basic project management approaches and tools, provide project management toolkit for projects as required.Deliver effective PMO process management to all interested parties.Continuously review the scope, schedule, cost, safety, and quality of assigned projectsReinforce identified facility standards (i.e., facilities, safety, security, energy efficiency, space, FFE, etc.)Conduct portfolio analysis to help address or accommodate project requests and business needsEnsure change control procedures are in place, and actively used, to assess the effect of changes to the projects on costs, timescale and/or resource needs and report these to project sponsors.Ensure compliance with agreed PM methodology, standards, policies and procedures to ensure strong governance, sharing knowledge and providing feedback and ideas so that performance is continually improved.Client Management – coordinate strategy and provide regular communication on activityPortfolio Management and Transactions – ensure the team has the project context to negotiate the best dealFinance – ensure the team is aware of project estimates and budget-to-actual impact Manage relationships and build credibility of the capital works services team across the EMEADevelop new opportunities across the capital works services (eg. using PMO, PM, Cost Management, Design, Tetris, Building Consultancy etc.)Additional Duties And Responsibilities
Support in coordinating multiple regional real estate initiatives and support with execution of operational/ real estate requirements.Assist with proactive management of account onboarding initiatives (Due Diligence, client onboarding initiatives/transitions and stabilisation of accountsSupport in monitoring all steps surrounding a transaction (completion of project initiation forms, delivery of market surveys, site tours, RFI/RFPs, LOI, building evaluation matrixes, lease execution and transaction closeout).Coordination of and collaboration with Workstream leads to identify key tasks to client onboarding initiatives (e.g., HR, Sourcing, JLLT, Finance, Commercial, Business Technology)Analytical Skills: Ability to analyze data, identify trends, and make informed decisions. Prepare, review, analyse, and interpret financial analysis templates including cash flow projections, NPV, P&L to determine the financial impact of transaction scenarios.Key Performance Measures
Project Leadership: Lead and manage complex and transformational projects across EMEA from initiation to closure, ensuring delivery within scope, schedule, and budget parameters.Stakeholder Management: Develop and maintain effective relationships with different stakeholders, collaborating closely to understand their needs, build alignment, provide guidance, and address any issues or concerns.Strategic Planning: Assess project requirements, align them with the organization's goals and objectives, and develop comprehensive project plans, including stakeholder assessment, communications, leadership alignment, organization transition, change readiness, capability transfer, and end-user training. Ensuring proper resource allocation and risk mitigation strategies are in place.Project Governance: Establish and implement governance frameworks to maintain project integrity and ensure adherence to project management methodologies, industry best practices, and compliance standards.Team Management: Collaborate with cross-functional project teams, fostering collaboration, individual growth, and high-performance through effective delegation, motivation, and mentorship.Change Management: Execute change management strategies, including communication plans, stakeholder engagement, and training initiatives, to drive successful adoption of project outcomes across the organization.Compliance Expertise: Comprehensive understanding of relevant industry regulations, building codes, and safety standards, with demonstrated experience in applying this knowledge to Integrated Facilities Management (IFM) projects and programsRisk Management: Identify project risks and develop proactive mitigation strategies, closely monitoring risks throughout the project lifecycle, and implementing contingency plans as needed. Monitor, tracks, and controls outcomes to resolve issues, conflicts, dependencies, and critical path deliverables.Reporting and Documentation: Prepare and present project status reports, executive summaries, and updates to key stakeholders, ensuring transparency and accountability at all levels.Continuous Improvement: Proactively identify areas for improvement in project management processes, tools, and methodologies, making recommendations and driving implementation to enhance project delivery efficiency and effectivenessExperience & Qualifications
Experience of planning, controlling, monitoring, and reporting on the delivery of projectsProficiency in MS Office suite, including MS Visio, Excel, Word, and PowerPointExperience: A minimum of 7-10 years of experience in successfully managing complex, transformational, centralization, informational technology projects in a multinational or global firm. IFM Operations experience is highly desirable.Project Management Skills: Proven expertise in project management methodologies, continuous improvement, and/or business partnering, with a strong focus on delivering business outcomes and managing project risks.Leadership Abilities: Demonstrated ability to lead and motivate cross-functional teams, manage stakeholders, and build collaborative relationships at all levels of the organization.Analytical and Strategic Thinking: Ability to analyze complex problems, evaluate options, and make informed decisions to drive successful project outcomes aligned with organizational goals.Communication and Influencing Skills: Exceptional written and verbal communication skills, with the ability to effectively convey complex ideas and influence key stakeholders.Change Management Expertise: Strong understanding of change management principles and experience in driving successful change initiatives across multiple levels of the organization.
