**Job Summary**
A Workplace Divisional Lead supports the GWS Local Country Leader. Duties involve general support across the office, support for leadership, and leading communication and events. The role is seen as a ‘go-to’ person and influences the office culture and employee experience.
**Essential Duties and Responsibilities**
**MD / Country Leader Support:**
· Calendar management - scheduling and managing appointments, meetings, and events.
· Coordinating travel arrangements, including flights, accommodations, and itineraries.
· Expense management – processing and tracking expense reports, reimbursements, and budgets, ensuring expenses align with company policies.
· Email and communication management - screening and prioritizing emails as required; drafting, proofreading, and editing correspondence on behalf of executives as needed.
· Meeting preparation - preparing agendas, materials, and presentations for meetings. Note taking when required.
· Confidential information handling - managing sensitive information with discretion and maintaining confidentiality.
· Report preparation – collating information for divisional / business unit reports and other internal reports.
**Office Coordination:**
· Provide administrative support for the corporate entity, as required.
· Coordinate the needs of the office such as stationary and kitchen supplies, as required.
· Troubleshoot or follow up on office issues with vendors or internal team such as D&T.
· Coordinate office events such as celebrations, functions, learning and development courses, conferences.
**Division / Country Coordination:**
· Act as the primary point of contact for the division / country, co-ordinating with internal teams/stakeholders.
· Build relationships with key stakeholders, liaising between executives, team members and clients.
· Operational support - assisting with day-to-day queries, ensuring smooth workflow, coordinating between teams/functions to ensure operational efficiency.
· Support for key initiatives / business projects – supporting the planning, execution and monitoring of tasks to ensure timelines and objectives are met.
· Developing systems and procedures to improve the overall efficiency of the Division / Business Unit.
· Communications – support GWS Local communications to the business, including newsletters, townhall presentations, and regional / local campaigns.
· Maintain shared drive / SharePoint content (where appropriate) including updating, editing and adding materials/documentation. Support awards programs within GWS Local with coordination of certificates and payments – Exceptional Awards, Achievement Awards

**Education:**
**High school diploma or general education degree (GED) required.**
**Experience:**
**Previous coordinator experience preferable.**

**Communication:**
Excellent written and verbal communication skills with strong organisational skills. Ability to provide efficient, timely, reliable and courteous service to customers, managing multiple deadlines across multiple stakeholders.
Strong interpersonal skills, with an ability to influence others, and engender confidence in senior managers through both face-to-face, telephone and written communication.
**Reasoning:**
Ability to comprehend, analyse, and interpret documents.
**Financial:**
Requires basic knowledge of financial terms and principles.
**Technology / systems:**
Excellent Microsoft 360 skills – primarily Outlook, Teams, Microsoft Word, Excel and PowerPoint.
**General:**
Highly trustworthy, demonstrating discretion with sensitive information, and possessing strong organizational skills to manage multiple tasks efficiently.
