Workplace Coordinator
Location: Singapore
Reports to: Workplace Manager
Position Summary
The Workplace Coordinator creates exceptional first impressions at Stripe's facility while serving as a key operational support for workplace services. This dual role welcomes employees and visitors with professional front-of-house services while coordinating essential facility operations including vendor management, service requests, and event support. The position represents both JLL and Stripe, embodying the company's culture and values through every interaction while ensuring seamless workplace operations and maintaining a welcoming, secure, and well-managed environment.
Key Responsibilities
Reception & Front-of-House Services:
Welcome and greet all visitors, employees, and vendors in a professional, friendly mannerManage visitor registration process using visitor management systems, issuing badges and maintaining accurate logsNotify employees of visitor arrivals and coordinate escort arrangements when requiredAnswer, screen, and direct incoming calls through the reception console or phone system Respond to basic inquiries regarding building services, amenities, and local informationMaintain a neat, organized, and professional reception area at all timesEnsure reception area is fully stocked with necessary supplies and collateral materialsFacility Coordination & Operations:
Support vendor purchase order (PO) process by coordinating approvals and tracking deliveriesReceive, log, and activate service requests from users through workplace management systemsCoordinate with facilities staff regarding building issues, maintenance needs, and service deliveryMonitor and track completion of work orders and service requestsSupport workplace security protocols by monitoring visitor access and adherence to proceduresReceive and coordinate the distribution of deliveries, packages, and courier servicesEvent & Administrative Support:
Support planning and execution of workplace events, meetings, and functionsCoordinate event logistics including catering, setup, registration, and vendor managementProvide administrative support including mail distribution, supplies management, and documentationMaintain accurate records of facility operations, vendor interactions, and service requestsSupport budget tracking for small facility purchases and servicesAssist with space planning initiatives and workplace optimization projectsMaintain updated knowledge of emergency procedures and support evacuation protocols when necessaryRequired Qualifications
High school diploma or equivalent; Associate's degree preferred2+ years of experience in reception, guest services, or customer-facing roleExcellent verbal and written communication skillsProfessional appearance and demeanor with strong customer service orientationExperience with visitor management systems and multi-line phone systems • Proficient computer skills including MS Office applications and basic database managementAbility to multitask in a fast-paced environment while maintaining attention to detailFlexible and adaptable approach to changing prioritiesStrong interpersonal skills with ability to interact professionally with all levels of employees and visitors • Reliable attendance and punctuality • Basic understanding of procurement processes and vendor coordinationPreferred Qualifications
Experience in corporate office or technology company environments Knowledge of security protocols and emergency proceduresBackground in hospitality, customer experience, or facility management rolesExperience with service management systems and work order platformsMultilingual abilities (depending on location)Experience with administrative support functions and PO processingKnowledge of facilities service request procedures and vendor managementBackground in event support, coordination, or project managementUnderstanding of workplace operations, amenities, and space managementTraining in first aid or emergency response • Experience with budget tracking and expense managementWorking Environment
This position is based on-site at Stripe's facility, requiring physical presence during standard business hours. The Workplace Coordinator primarily works at the front desk/reception area, with regular movement throughout the facility for coordination tasks, vendor meetings, and event support. The role involves extended periods of sitting or standing, regular computer use, consistent verbal communication, and occasional lifting of supplies or materials. The position requires consistent professional presence as the first point of contact for the facility while managing behind-the-scenes operational coordination.
