Description
We are looking for a skilled Facilities Manager to oversee the daily operations and management of facilities in New York, New York. This Contract-to-Permanent position requires a proactive individual who can ensure the smooth functioning of site services, maintenance programs, and tenant relations while adhering to company policies. The ideal candidate will possess strong leadership and organizational abilities to manage budgets, contracts, and compliance documentation effectively.
Responsibilities:
• Coordinate daily facility operations, including maintenance, engineering, custodial services, and event setups, ensuring adherence to company policies and client directives.
• Manage vendor contracts by conducting regular reviews, handling bidding processes, and verifying invoices against agreed pricing.
• Supervise maintenance programs for both interior and exterior property upkeep, ensuring a detail-oriented and well-maintained appearance.
• Address occupant requests promptly while overseeing contract programs to meet service level agreements and enhance occupant satisfaction.
• Maintain site-specific documentation and reports, including emergency procedures, compliance logs, vendor insurance certificates, and annual performance reports.
• Prepare and review budgets, financial reports, contracts, and purchase orders, ensuring alignment with facility objectives.
• Collaborate on annual budgets, quarterly forecasts, and business plans to support financial and operational goals.
• Assist in developing capital budgets, contributing to long-term maintenance, facility improvement, and cost-saving initiatives.
• Analyze and report statistical data to provide accurate assessments of facility management strategies and objectives.
• Recruit, train, and manage facility personnel, fostering positive staff relations and conducting performance evaluations.
Requirements
• Bachelor’s degree in Facilities Management, Corporate Real Estate, Project Management, or Business Administration.
• Minimum of 5-7 years of experience in commercial high-rise, campus environment, or property portfolio management.
• Familiarity with leasing, construction, engineering, and building operations is preferred.
• Experience with critical system environments and cost efficiency programs is highly desired.
• Proficiency in work order management systems and accounting software.
• Strong communication skills, both oral and written, with a focus on relationship management.
• Demonstrated ability to lead teams, solve problems, and manage finances effectively.
• Technical proficiency in tools such as ADP Workforce Now, Ceridian, and accounts payable systems.
ADDITIONAL ELIGIBILITY QUALIFICATIONS
• Certified Facility Manager (CFM), International Facilities Management Association (IFMA), Building Owners and Managers Association (BOMA) industry certifications recommended; other Engineering, Business or technical training or certifications preferred
• Ability to read and understand construction specifications and blueprints
• Proficient in understanding management agreements and contract language
• Excellent computer and systems knowledge: Strong literacy in Microsoft Office Suite (MS Word, Excel and PowerPoint)
• Strong discipline of financial management including financial tracking, budgeting and forecasting
• Knowledge of Financial Systems (Yardi a plus)
• Skilled in Building Management Systems maintenance and monitoring
