Workplace Coordinator

Job Overview:

This role provides operational support on a shift basis from 14:00 to 22:00, ensuring each business unit and floor is consistently ready and delivering a high-quality customer experience. As part of the Workplace Services team, the Workplace Co-ordinator works closely with the Manager to build strong relationships with occupants and resolve issues efficiently. The position is multi-functional, involving contractor engagement, administrative duties, and clear communication. It may also include basic maintenance tasks and support for non-technical planned preventative maintenance (PPMs). Overall, the role enhances service consistency and operational excellence across the site.

Main Responsibilities:

Conduct regular checks of Deloitte demised and common areas, proactively addressing issues and ensuring operational readiness. Report building, mechanical, and electrical issues promptly; liaise with the Helpdesk to manage resolutions and keep stakeholders informed. Oversee on-floor storage, signage, meeting room resets, and ensure availability of stationery, IT peripherals, and copier supplies. Maintain high cleaning standards through coordination with housekeeping; manage waste flow, including confidential waste. Act as the first point of contact for occupant requests, taking ownership and ensuring timely resolution with a focus on customer satisfaction. Support health and safety compliance, monitor ingress/egress points, maintain resource stations, and escalate any process gaps. Assist with space utilization checks, manage stock control processes, and support storage reduction initiatives like Paper Lite. Manage daily performance of Mitie teams, liaise with contractors and landlords on maintenance, and ensure service delivery meets KPIs and SLAs. Assist in compiling monthly reports, maintaining emergency contacts, and supporting business continuity planning. Build strong relationships across the business, ensuring adherence to guidelines and escalating non-compliance when necessary.

 

What were looking for:

Extensive experience within facilities management as a Coordinator or equivalent. Strong personal skills including communication and organisation. Positive attitude to drive you and your team forward. Advanced IT proficiency using Office packages and CAFM systems. Being self-motivated to work under pressure and conflicting deadlines.
