What this job involves:As a Facilities Coordinator / Workplace Ambassador at JLL, you'll serve as the heartbeat of our client's workplace, creating exceptional experiences for employees and visitors while ensuring smooth day-to-day operations. This role combines facilities coordination with hospitality excellence, where you'll manage space utilization, coordinate services, and act as the welcoming face of the workplace. You'll collaborate with diverse teams to maintain operational standards, respond to workplace needs, and help create environments where people can do their best work. What your day-to-day will look like:Serve as the primary point of contact for workplace inquiries, greeting visitors and employees with professionalism and warmth while managing front-of-house operations
Coordinate facilities services including meeting room setups, catering arrangements, equipment requests, and workspace configurations to support seamless business operations
Monitor and manage space utilization, workplace bookings, and hoteling systems to optimize the use of available resources and enhance the employee experience
Conduct regular workplace inspections to ensure cleanliness, functionality, and safety standards are maintained, escalating issues promptly to appropriate teams
Collaborate with vendors, contractors, and internal stakeholders to coordinate maintenance activities, deliveries, and service requests with minimal disruption to the workplace
Support workplace events, town halls, and employee engagement initiatives that foster community and connection within the space
Maintain accurate records and documentation of facilities activities, service requests, and workplace incidents using facilities management systems
Provide administrative support including mail distribution, supply inventory management, and coordination of building access and security protocols
Champion sustainability initiatives and workplace wellness programs that support employee wellbeing and environmental responsibility
Required qualifications:High school diploma or equivalent with 2+ years of experience in facilities coordination, office management, hospitality, or customer service roles
Exceptional interpersonal and communication skills with a service-oriented mindset and ability to interact professionally with all levels of an organization
Strong organizational abilities with proven experience managing multiple priorities, tasks, and requests simultaneously in a fast-paced environment
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and ability to quickly learn facilities management software and workplace technology platforms
Demonstrated problem-solving skills with ability to anticipate needs, think critically, and resolve issues independently with sound judgment
Flexibility to adapt to changing priorities and willingness to take on varied responsibilities as workplace needs evolve
Physical ability to move throughout the facility, lift up to 25 pounds, and remain standing for extended periods when necessary
Preferred qualifications:Associate's or Bachelor's degree in Facilities Management, Business Administration, Hospitality Management, or related field
Experience with Computer-Aided Facilities Management (CAFM) systems, workplace booking platforms, or Integrated Workplace Management Systems (IWMS)
Background in corporate real estate, commercial property management, or integrated facilities management services
Knowledge of health and safety regulations, building codes, and workplace compliance standards
Previous experience supporting workplace experience programs, employee engagement initiatives, or corporate hospitality functions
Bilingual capabilities or multilingual skills to support diverse workplace populations
