Job Summary/Goals

The Workplace Ambassador (receptionist) reports to the Junior FM Manager and is responsible for providing support to ensure that reception and facility management services are delivered efficiently and effectively.

Work time and Location site

8:30am - 4:30pm

Essential Duties and Responsibilities

Provide excellent customer service that meets client expectations

Greet visitors at reception, direct them and announce them properly

Receive letters, parcels and mail - log and organize them

Manage sending and receiving parcels and mail using several platforms

Handle parcels and/or pallets

Create shipping labels on the platform as needed for parcel dispatch

Keep the reception area and storage room clean, tidy and in good working order at all times

Check daily the cleanliness and dishes in the kitchenette, meeting rooms and employee areas

Handle standard phone calls

Provide basic and accurate information in person, by phone or by email

Respond to employee needs and requests

Support internal events held in the building

Ensure all activities follow health and safety policies

Follow the JLL code of conduct and comply with company policies, procedures, and strategies

Always look for ways to reduce costs and improve operational standards.

Perform other tasks as assigned by the supervisor

Manage booking of forum or meeting rooms in the building basement (-1)

Handle booking of company cars for various clients and employees

Manage the creation of access badge requests

Create service request tickets for interventions

Skills & Competencies

Speak both french and english

Proactive and hands on  ready to support other team members

Computer skills : outlook, excel, word, teams

Ability to draft and manage emails professionally

Professional, friendly and welcoming attitude

Good attention to detail

Ability to take initiative

Good communication and customer service skill

Experience in customer service

Experience working in a corporate environment

Follow health and safety rules carefully

Experience in reception duties
