Title: Workplace Ambassador, Facilities Support

About the role:

The Workplace Ambassador builds community by connecting our people with solutions. They foster togetherness, empower our staff, and provide friendly and responsive resolutions to our everyday office operations.

This pivotal role focuses on the technical and hard services of workplace operations including facilities management, budgeting, and finance, HSSE, occupancy planning, event logistics, workplace AV/ tech and process development.

The Workplace Ambassador connects stakeholders, improves facilities, and ensures excellent service to users.

Duties & responsibilities

What this job involves:

Client/Stakeholder Support

Provide premium customer service to staff and clients.

Being a go to expert in the functioning of our office.

Attending regular catch ups with EA’s and stakeholders to support FM Assistant Manager & FM Director.

Responding to incoming enquiries in a timely manner

Concierge services when required, and act as a back-up to Community Ambassador when he/she is on leave.

Assisting the team for Events set up.

Procurement & Vendor Support

Assist in the management of contractors onsite to ensure they perform to the required standards (including inspection of vendors’ works)

Assist in the procurement of vendors and services as required.

Onboarding new vendors into finance system

Creating strong relationships with contractors and account managers.

Identifying opportunities to streamline processes and consolidate vendors when possible.

Finance Support

Processing all incoming invoices before the financial cutoff date.

Consistently checking on work orders and following up with vendors who haven’t sent through invoices.

Working with Workplace Assistant Manager to ensure we’re staying within our budget.

Support Workplace Assistant Manager in identifying and explaining variances in the budget to Director of FM (Hong Kong) and Regional Finance Lead.

Identifying opportunities for saving and tracking.

Facilities Management

Raising work orders for reactive maintenance and ensuring work is completed timely and service delivery meets JLL standards

Proactively scanning the office for any facilities issues with cleaning, plants, furniture, lights, doors and appliances.

Actioning any concerns which are raised by staff in a timely manner

High attention to detail ensuring our office I kept to the highest possible level for our clients and staff.
 

Health & Safety

Conduct regular audits to ensure safety procedures are being complied with.

Identify any potential safety risks within the office

Take on a role as first aider and/or emergency warden.

Participate in the disaster recovery and business continuity plans as required.

Follow established escalation procedures and incident reporting procedures.

Ensure visitors are signed in for compliance tracking.

Other

Capacity to deal with ambiguity and solve complex problems effectively.

Analytical, proven ability to solve problems using a quantitative approach.

Proven ability to employ holistic approaches and looks at long term solutions.

Achieve Key Performance Indicators based on workorder and financial tracking

Other tasks consistent with the role of Workplace Ambassador, or as needed.

 

Ideal Experience

 

The ideal candidate will have extensive experience in property/ facilities management, hospitality, hotel management or luxury corporate concierge. They will have strong administrative, communication and problem-solving skills, a proven experience with continuous improvement initiatives.

 

Must present a professional and friendly corporate image to clients. Can stay calm when presented with multiple priorities. Some knowledge of occupational safety requirements will be advantageous.
