What this job involves:
As a Workplace Ambassador at JLL in Buenos Aires, Argentina, you will be primarily responsible for managing first line soft services to the site(s) including reception, mail operations, meeting & events as well as supporting the help desk with the objective to drive a high-end customer service experience to fulfill our Client's internal and external customers, visitors and/or third-party vendors. This dynamic role requires you to lead and coordinate the reception and business center teams while closely working with the FM team to drive events requirements related to spaces set up. You will address and fulfill Client associates' inquiries in a polite and timely manner while managing and maintaining regular contact and meetings with relevant vendors to report on issues, recommendations and cost estimates. Working Monday to Friday from 9:00 am to 6:00 pm on site with an indefinite-term contract, this position involves supporting weekly and monthly building inspections while pro-actively identifying opportunities to continuously drive effectiveness and efficiencies within Site Facilities operations, directly contributing to JLL's mission of delivering exceptional workplace experiences through superior customer service and facilities management excellence.
What your day-to-day will look like:
Address and fulfill Client associates' inquiries in polite and timely manner while leading and coordinating reception and business center teamsWork closely with FM team to drive events requirements related to spaces set up while managing regular contact and meetings with relevant vendorsSupport weekly and monthly building inspections in alignment with Site FM while supporting work orders resolution per service level agreementsSupport Travel/Visitors while interfacing with local FM team and Organization Units to gather and communicate information to reception staffAssist in organizing internal and external Client events while managing quality of conferencing facilities and engaging with FM team when issues ariseSupport local procurement needs working closely with regional Sourcing and Procurement team while providing coverage for Facilities Manager when requiredEnsure sufficient supplies inventory stocks availability while placing orders for re-stocking and controlling consumption trends for efficiency opportunitiesEnsure visitors comply with Client's external visitation registration system following established process and security policies while supporting meeting room bookings.Required Qualifications:
Technical or University degree or equivalent number of years of education and/or working experience in hospitality, Corporate Office environment or related fieldsFluent English with one to three years of experience performing similar activities in reception, business center coordination or customer service rolesBasic knowledge of administrative tasks with excellent attitude towards Customer Service and details orientation for analyzing and problem solvingDemonstrated follow up skills in fast-paced changing environment with ability to apply critical thinking and identify issues for problem solvingAbility to build strong relationships and influence others while working in cross functional environment with relationship building across internal departmentsWritten and verbal communication and organizational skills with ability to organize and manage multiple priorities effectivelyMust be highly motivated and able to work independently with flexible work schedule for supporting various operational requirements.Preferred Qualifications:
Experience with vendor management, contracting and on-boarding processes in corporate office environmentsKnowledge of meeting and conference room booking systems with understanding of different access/permissions requirementsBackground in event coordination and space setup for internal and external corporate eventsFamiliarity with procurement processes and inventory management for office supplies and consumablesUnderstanding of visitor registration systems and security policies in corporate environmentsExperience with facilities management support and building inspection processes.Location: Onsite
