Workforce Operations Specialist
Job Title: Workforce Operations Specialist Job Description The Workforce Operations Specialist ensures that workforce operations key performance indicators (KPIs) and service expectations are consistently met, including achieving headcount requirements that support service level metrics and performance goals. This role oversees workforce reporting across the organization, partners closely with leadership on P&L and budget performance from business unit to branch level, and leads workforce initiatives that positively impact revenue and expense. The specialist serves as the primary point of contact for temporary staffing agencies, manages their performance, and supervises a team of workforce operations leaders while driving continuous process improvement and standardization. Responsibilities + Ensure workforce operations KPIs and service expectations are met, including achieving headcount requirements to support service level metrics and performance goals. + Provide accurate and timely workforce reporting to stakeholders across the entire organization. + Engage with P&L and budget performance at the business unit and branch levels, analyzing workforce impacts on revenue and expense. + Partner with branch leadership to develop and implement workforce initiatives that improve P&L performance. + Serve as the primary point of contact for temporary staffing agencies, including existing partners and prospective agencies. + Coordinate contracts and amendments with staffing agencies and negotiate commercial terms in alignment with organizational objectives. + Handle escalations related to staffing agency performance and resolve issues in a timely and professional manner. + Manage and monitor staffing agency KPI performance, ensuring service quality and adherence to agreed standards. + Build and maintain positive working relationships with staffing agencies on behalf of the organization. + Collaborate with staffing agencies and branch teams to develop new workforce initiatives that support branch operations. + Supervise, lead, and motivate a staff of workforce operations leaders, providing direction, coaching, and support. + Prepare various workforce reports and analyses as requested by senior leadership, ensuring accuracy and clarity. + Generate, cultivate, and communicate ideas for continuous improvement of workforce operations processes and activities. + Drive standardization of workforce operations processes across branches to promote consistency and efficiency. + Conduct research and reconciliation of workforce operations headcount reports posted on internal platforms, including the homepage and workforce operations portal. + Support and ensure compliance with employment practices in partnership with the HR team. + Collaborate with the Director of Workforce Operations by providing insights, updates, and recommendations on workforce strategy and performance. Essential Skills + Experience in recruiting operations, including working with MSP and VMS software and applicant tracking systems (ATS). + MSP/VMS experience managing or supporting workforce programs. + Experience engaging with and managing recruiting agencies and temporary staffing partners. + Excellent leadership ability with a track record of leading teams or operations. + Operations leadership experience, preferably in a workforce or staffing-focused environment. + Strong coaching and employee development skills and experience. + Strong interpersonal skills with the ability to motivate and influence others. + Advanced interaction skills with the ability to communicate effectively at multiple organizational levels. + Superior verbal and written communication skills. + Strong organizational and analytical skills. + Proactive problem-solving ability with a focus on resolving issues efficiently. + Strong financial skills and reporting background, with the ability to understand and support P&L performance. + Results-oriented mindset with a focus on achieving measurable outcomes. + Advanced conflict resolution skills to handle escalations and complex situations effectively. Additional Skills & Qualifications + Experience preparing and presenting workforce reports and analysis for senior leadership. + background in developing and implementing process improvements within operations or workforce management. + Experience standardizing processes across multiple branches or locations. + Familiarity with employment practices and partnering with HR to support compliance. + Demonstrated ability to build and maintain strong relationships with external vendors and internal stakeholders. + Ability to thrive in a fast-paced, operations-driven environment with shifting priorities. Work Environment This role is based fully onsite at the West Chester location, working closely with branch leadership, HR, and staffing agency partners in a collaborative operations environment. The position focuses on active engagement with workforce data, P&L performance, and staffing agency interactions, requiring frequent communication, reporting, and coordination. The role is not structured as a temp-to-hire position, although there may be opportunities to explore different roles within the organization after the defined duration of this assignment. Job Type & Location This is a Contract position based out of West Chester, PA. Pay and Benefits The pay range for this position is $35.00 - $35.00/hr.
