Job Title: Payroll Specialist
Job Description
We are seeking a highly skilled Payroll Specialist to join our team and contribute to the implementation of a new HRIS system (Workday). The ideal candidate will have extensive Canadian payroll experience in a unionized environment and will play a critical role in ensuring accurate and timely payroll processing. This position offers the opportunity to manage the full payroll cycle and provide advanced technical, analytical, and compliance support.
Responsibilities
Join team meetings to stay aligned with payroll operations and project updates.Participate in practice sessions and unit tests as part of the Workday system build.Conduct unit tests and validate test scenarios in Workday.Review test outcomes to confirm accuracy of payroll scenarios.Understand the audit process and earning code validation stage within Workday.Build foundational knowledge of earning codes and their application in payroll processing.Run biweekly payroll independently and accurately.Apply strong foundational understanding of Workday functionality to support testing and rollout.Coordinate complex, full cycle Canadian payroll for a large, unionized environment.Maintain payroll schedules to ensure compliance with legal, contractual, and organizational deadlines.Accurately process statutory deductions, pension contributions, and other earnings/deductions.Audit reconciliations and adjustments such as retroactive payments, vacation payouts, sick leave, and statutory holidays.Interpret and apply collective agreements and employment legislation.Submit government remittances and Records of Employment (ROEs).Participate in Year-End processing including reconciling and balancing annual taxable earnings and deductions.Implement payroll-related changes for new collective agreements, including retroactive payments.Audit, communicate, and correct GL issues with Finance to complete payroll processing.Support and liaise with Finance to balance Bi-weekly and Year-end adjustments.Serve as a subject matter expert for payroll systems including ANSOS Time and Attendance, Smart Stream, SAP, and Workday.Participate in the development, testing, and implementation of HRIS and payroll system enhancements.Ensure data integrity across payroll, HR, and timekeeping systems.Collaborate with IT to troubleshoot and resolve system issues.Identify gaps, collaborate, and recommend process improvements.Create and validate payroll reports for internal stakeholders and compliance purposes.Conduct payroll audits, reconciliations, and variance analyses.Support internal and external audits through preparation of documentation and timely responses.Provide excellent customer service to inquiries, resolving day-to-day payroll issues.Collaborate cross-functionally with HR, Finance, IT, and department managers to ensure seamless payroll integration.Essential Skills
Advanced proficiency in Excel for data analysis, reconciliation, and reporting.Experience with nursing scheduling systems for accurate time and attendance inputs.Proficient in using the SmartStream interface for data extraction and manipulation.Ability to post payroll data to SAP and coordinate with floor office operations for issue resolution.Strong Canadian payroll experience in a unionized environment.Knowledge of Workday HCM and HRIS systems.Additional Skills & Qualifications
Full cycle payroll experience.Knowledge of Time & Attendance systems.Understanding of Payroll Legislation and compliance.Experience with account reconciliation.Experience in a hospital or healthcare setting.PCP (Payroll Compliance Practitioner) certification.Knowledge of OneStream and National Payroll Institute (NPI).Job Type & Location

Pay and BenefitsThe pay range for this position is $35.00 - $40.00/hr.
