Work Order Coordinator – JLL
What this job involves:
The Work Order Coordinator plays a vital role in ensuring seamless facility operations by managing work order distribution, coordinating building management services, and maintaining operational excellence. This position serves as the central hub for service delivery, leveraging advanced technology systems to assign work tickets, monitor facility maintenance, and ensure timely resolution of service requests. By maintaining accurate data and preparing comprehensive reports, you will directly contribute to JLL's commitment to delivering exceptional client experiences and operational efficiency across our managed facilities.
What your day-to-day will look like:
Manage and distribute work orders through the client's work order management system, ensuring accurate assignment to Facilities Coordinators, Tenant Service Coordinators, and third-party vendors
Track and facilitate completion of service requests, relocation and renovation services, and event coordination on a daily basis
Maintain up-to-date and accurate data entry across all systems, ensuring operational transparency and compliance
Audit, research, and prepare comprehensive reports on costs, quality assurance, and day-to-day operational effectiveness for management review
Leverage client work order management system, task management, relocation and renovations services, event coordination, and office/warehouse operation, as necessary
Evaluate safety and emergency situations for appropriate notification and coordinate emergency response at the facility as directed
Report and facilitate resolution of facility maintenance deficiencies to ensure building standards are consistently met
Required Qualifications:
Associate's degree in a relevant field
1 to 2 years of experience in relevant field (facility management or work order coordination roles)
Excellent written and verbal communication skills (Advanced English - B2), including the ability to convey complex technical information to non-technical audiences
Computer proficiency with Microsoft Office suite, with specific expertise in Excel and Word
Preferred Qualifications:
Experience with work order management systems and task management platforms
Working knowledge of critical equipment and technical systems
Technical knowledge in electrical systems, electrical generation/distribution, and HVAC systems
Knowledge of relocation and renovation coordination processes
Familiarity with event coordination within corporate facility environments
Background in emergency response coordination and safety protocols
Location: Heredia, Costa Rica - Hybrid
Work Shift: Monday to Friday, 8 am to 5 pm
