**Job Description:**
**SUMMARY**
The Refrigeration Warranty Administrator is responsible for managing the warranty claims process for Traulsen equipment. The successful candidate will work closely with Traulsen’s Authorized Service Providers, Traulsen’s customers, and service technicians to ensure that all warranty claims are submitted accurately and processed in a timely manner.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
+ Process vendor invoices and ensure accuracy of data entry.
+ Verify receipts, purchase orders, and contracts to ensure compliance with company policies.
+ Prepare and process payments, including checks and electronic transfers.
+ Reconcile vendor statements and resolve discrepancies promptly.
+ Maintain organized records of accounts payable transactions and vendor documentation.
+ Assist in month-end and year-end closing activities, including reconciliation.
+ Support the finance team in maintaining financial records and reports.
+ Communicate effectively with vendors regarding payment inquiries and issues.
+ Collaborate with other departments to streamline processes and improve efficiencies.
+ Assist in audits by providing necessary documentation and reports.
+ Work closely with service technicians to ensure that all warranty claims are properly diagnosed and documented.
+ Collaborate with the service team to identify opportunities to improve warranty claim processing and customer satisfaction.
**QUALIFICATIONS**
+ Strong organizational and communication skills, with the ability to manage multiple tasks simultaneously.
+ Experience working with, Infor Syteline, warranty systems and tracking tools preferred.
+ Excellent problem-solving and decision-making skills, with the ability to prioritize and manage multiple tasks.
+ Strong customer service orientation, with the ability to resolve customer complaints and issues.
+ Familiarity with refrigeration systems and/or HVAC systems a plus.
+ Proven experience in accounts payable or a related financial role, preferably in the HVAC industry preferred.
+ Strong understanding of accounting principles and practices.
+ Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
+ Excellent attention to detail and accuracy in data entry.
+ Ability to work independently and as part of a team.
**EDUCATION**
+ Minimum of 3 years of experience in warranty claims administration or a related field.
+ High school diploma or equivalent required; Associate degree in business administration or a related field preferred.

+ Perform activities including bending, stooping, standing, walking

+ Use various measuring instruments
+ Work in climate-controlled environment

+ Monday – Friday 7:30am to 4:30pm
