Why does this role exist?
This role is being hired to rapidly professionalize lead intake, follow-up, and CRM operations so valuable prospects from email campaigns never slip through the cracks. You will own the day-to-day execution of GoHighLevel and Instantly, implement reliable processes, and launch consistent outreach and social media activity so the business can scale without overloading the CEO or existing team. In short: keep every inbound lead engaged, streamline systems, and build repeatable SOPs for sustainable growth.
The Impact you’ll makeLead intake & inbox management\nMonitor and respond to inbound leads from Instantly and email campaigns.\nTriage, prioritize, and assign follow-ups so no lead is missed.\nLog all interactions and update lead statuses in GoHighLevel.\nCRM & campaign execution\nFully operate GoHighLevel for conversation management, tags, sequences, and pipelines.\nExecute and support outbound messaging and automated follow-ups in Instantly.\nMaintain campaign lists, perform basic list hygiene, and report deliverability/issues.\nSales operations & scheduling\nGenerate quotes using internal pricing tools and send to prospects.\nBook sales calls via the calendar system and confirm appointments.\nTrack conversion outcomes and ensure handoffs to sales team are clean.\nProcess building & documentation\nCreate and maintain SOPs for lead nurturing, follow-up cadences, and CRM hygiene.\nImplement tracking and escalation workflows to close gaps in the funnel.\nTrain other team members on documented processes as needed.\nMarketing & administrative support\nPublish and schedule social media posts across platforms (Instagram, Facebook, TikTok, etc.) using a scheduling tool.\nAssist the CEO with calendar management, basic operational tasks, and ad-hoc admin.\nUse ChatGPT and internal templates to draft high-quality outreach and social content.\n
Skills, Knowledge and ExpertiseRequired:\nStrong, hands-on experience using GoHighLevel (daily operational use).\nProven experience with Instantly (or equivalent cold/email automation platform) managing inbound and outbound campaigns.\nExcellent written and verbal English for US-focused sales outreach.\nDemonstrated ability to manage high-volume inbound responses and ensure no leads are missed.\nAvailability to work full-time 40 hrs/week M–F 9:00 AM–6:00 PM Central Time (US).\nWFH Set-Up:\nComputer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.\nInternet speed of at least 40MBPS\nHeadset with an extended mic that has noise cancellation and a webcam\nBack-up computer and internet connection\nQuiet, dedicated workspace at home\n\n\nYour Superpowers:\nTechnical\nDeep practical knowledge of GoHighLevel CRM, pipelines, tags, and conversation workflows.\nStrong email automation skills with Instantly (campaign setup, sequencing, follow-up rules, deliverability awareness).\nProficiency with Microsoft Office / Outlook and calendar booking systems.\nFamiliarity with social media scheduling tools and basic posting across Instagram, Facebook, TikTok.\nComfortable using ChatGPT for copy-drafting, SOP creation, and workflow automation.\n\n\nSoft skills\nExceptionally organized and detail-oriented; strong task ownership.\nClear, persuasive communicator with a US-sales tone.\nProactive problem-solver who escalates quickly and documents solutions.\nAble to work independently while collaborating via Microsoft Teams.\nCoachable with a growth mindset and willingness to create repeatable processes.\n\n\nYou should apply if...\nYou take pride in making operational systems reliable and hate seeing leads slip through the funnel.\nYou enjoy hands-on CRM work, process documentation, and fixing operational gaps.\nYou’re patient but results-driven, comfortable in a fast-growing environment, and willing to support the CEO on operational tasks.\nYou want a role where you can eventually take on leadership responsibilities over remote team members.\n
