The VIP Experience Planner is responsible for curating, coordinating, and delivering exceptional, personalized experiences for Miraval Austin’s VIP guests, specifically Exclusive Resorts guests, as well as other designated VIPs. This role serves as a key liaison between VIP guests and resort departments, ensuring seamless communication, thoughtful planning, and elevated service touchpoints throughout each stay. The VIP Experience Planner oversees the Weekly VIP Planning Grid, leads VIP arrival connections and property tours, and supports the execution of the weekly VIP Reception with the Guest Experience Manager.
**Essential Functions**
**Guest Engagement & On Property Experience**
+ Greet, welcome, provide property tour and connect with Exclusive Resorts guests upon arrival, and other designated VIPs either upon arrival or early in their stay.
+ Serve as a warm, knowledgeable point of contact throughout the guest journey, fostering meaningful connections and anticipating needs.
+ Conduct on-property check-ins with VIPs to ensure satisfaction and resolve concerns with immediacy and discretion.
**VIP Planning & Coordination**
+ Own and maintain the Weekly VIP Planning Grid, ensuring accuracy, timely updates, and cross-departmental visibility.
+ Place significant emphasis on pre‑arrival administration, with detailed planning and coordination of VIP arrival grids.
+ Ensure all VIP notes, preferences, and service expectations are documented and communicated prior to guest arrival on all necessary communications channels.
+ Coordinate customized welcome notes and thoughtful amenities that reflect member expectations and Miraval’s wellness ethos.
**Exclusive Resorts & VIP Relations**
+ Act as the primary on-property liaison for Exclusive Resorts guests, ensuring brand alignment and elevated service delivery.
+ Build trusted relationships with repeat VIP guests and membership partners
+ Seamlessly transitions guest communication from pre‑arrival planning to onsite engagement, ensuring continuity, clarity, and a cohesive guest experience
+ The VIP Experience Planner could handle other diverse and sometimes complicated special arrangements via email and on the phone
**Weekly VIP Reception Support**
+ Assist in planning, set-up, execution, and guest engagement for the Weekly VIP Reception.
+ Welcome and connect with VIP attendees, facilitate introductions, and ensure the event reflects Miraval’s refined yet approachable atmosphere.
+ Partner with culinary and events teams to ensure seamless service and presentation.
**Guest Experience Team Support**
· Must be able to work as part of an effective team and be able to take direction, with the capacity to make decisions that benefit the greater good and always demonstrate exceptional professional judgment.
· VIP Experience Planner are fully versed in and experienced with the principles of effective selling.
· VIP Experience Planner describes our offerings in an enticing, accurate and descriptive manner while exhibiting a high level of product knowledge.
· VIP Experience Planner must be able to identify sales opportunities through gaining insight into each guests’ specific intention for their visit to Miraval and to then effectively tailor the value of Miraval’s offerings to meet the specific wants, interests, and needs of each guest.
· VIP Experience Planner must be personable, articulate, well-spoken and persuasive. They must be computer savvy as well as resourceful and dependable.
· Work independently using resources provided.
· Prioritize tasks and handle multiple duties simultaneously while remaining highly organized with attention to detail and consistent follow-up.
· Respond timely to requests for information and assistance from guests, agents and other resort employees by using good judgement when independent decisions are required.
· Attend training classes to stay current on all aspects of Miraval procedures, services and offerings
· Ensure that all tasks involving guests have either been completed or reassigned prior to leaving for the day.
· Other duties and responsibilities as assigned.

**Qualifications -**
· Must understand the basic principles of selling, processing reservation requests, and telephone customer service
· Must be familiar with the operation of property management software, email, routine database activity, graphics, and Microsoft applications such as Word, Excel, and Windows
· Know how to operate printers and other office equipment
· Must be able to prioritize tasks and handle multiple tasks simultaneously
· Minimum of 2 years of high-end sales and customer service experiences
· Exceptional verbal and written communication skills with ability to skillfully articulate resort information to guests and new agents
· Exceptional time management, detail and organizational skills
· Professional demeanor with exceptional verbal, written and electronic communication skills
· Must be completely flexible and be able to work weekdays, weekends, mid shifts, nights and holidays
· A requirement for the position is working Saturdays and Sundays

**Educations / Experiences**
No prior experience or training necessary.
**Language Skills**
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Must have the ability to read and interpret retail product labeling, as well as the ability to speak effectively before groups of customers or associates of organization.
**Reasoning Ability**
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. As well as the ability to deal with problems involving several concrete variables in standardized situations.
