Position Summary
The Utilities Lead ensures timely and accurate setup, activation, and management of utilities for new construction, acquisitions, and existing sites. This role collaborates with Energy Management, Development, Construction, and Civil Engineering teams to align utility activations with schedules and local requirements, and supports rebate and incentive opportunities. The position also oversees lease-related utility responsibilities through the Property Management team and ensures accurate billing, account updates, and documentation, helping prevent service interruptions and supporting process improvements.
Job Duties/Responsibilities
Utility Setup, Billing & Account Management:
Coordinate utility setup for new construction, including applications, deposits, and meter scheduling
Manage account and billing changes for existing clubs, including updates to entity name, Tax ID, or billing address
Support utility transfers and activations for acquisitions
Ensure timely activation and proper billing setup by working with bill pay provider and Energy Management
Resolve billing issues and submit required documentation to utility providers
Support new club utility rebate and incentive programs, including Energy Design Assistance (EDA) where offered, ensuring applications and approvals align with utility activations
Cross-Functional Coordination & Scheduling:
Work closely with Energy Management, Development, Construction, and Civil Engineering teams to ensure utility applications and activations align with construction schedules and local utility requirements
Maintain communication to prevent delays in site readiness
Lease & Landlord Utility Oversight:
Partner with the Property Management team to confirm landlord vs. Life Time utility responsibilities and ensure account setup and billing align with lease terms
Support internal teams in understanding lease requirements and how they impact utility setup and billing
Documentation, Compliance & Process Improvement:
Maintain accurate records of accounts, meters, service dates, and billing contacts
Ensure adherence to company policies, lease agreements, and regulations
Identify and implement process improvements to prevent shutoffs, billing errors, or delays
Minimum Required Qualifications
Knowledge of standard office procedures and computer skills with Microsoft Office (Outlook, Excel, Word)
Detail oriented with ability to ensure accuracy of project details
Strong written and oral communication skills (comfort with external calls to utility providers)
Thoughtful work planning and ability to prioritize individual and team member contributions to achieve high quality, timely results
Ability to effectively multi-task with tight deadlines independently and within a team environment
Results orientated with a focus on achieving overall business objectives
Ability to clearly, concisely and accurately report on project progress and outcomes
Energized by working in a fast pasted environment
Education:
Associate or Bachelor’s degree in related field (Business, Finance, Engineering, Construction Management, Real Estate or Facilities Management, Environmental or Energy Management)
Years of Experience:
5+ years of professional experience in one or more of the following areas:
Utility account management, setup, or operations
Facilities management or site activation coordination
Real estate or lease administration related to utilities
Construction or development project coordination
Experience managing rebates or utility incentive programs (e.g., Energy Design Assistance, energy efficiency programs) is highly desirable.

Preferred Qualifications:
Experience working in a multi-site, corporate environment coordinating with Energy, Development, Construction, and Property Management teams.
Strong understanding of lease terms and landlord vs. tenant utility responsibilities.
Prior experience with new location pipeline management and coordinating utility activations in line with construction schedules.
Knowledge of clean energy initiatives, energy efficiency programs, and utility rebate processes.
Excellent communication, organization, and problem-solving skills for cross-functional coordination.
