Position Overview
Based in the Personnel Office HMS Sultan, this role provides a broad and flexible service to meet the contracted administration requirements of the Armed Forces (predominantly the Royal Navy) and there is the potential to rotate through various elements of professional responsibilities when required to meet the needs of the business. Training can be provided, where appropriate.
The main responsibilities of this role include providing a dedicated day-to-day focal point for personnel administration, serving as a direct customer interface, and liaising with coordinators and line managers. The role also involves arranging travel through an online booking system and coordinating with booking companies, coordinators, and travellers. A key aspect of the position is collating and maintaining budget-related information while ensuring the protection and confidentiality of personnel-related data. The successful candidate will be responsible for data input and updating the joint-Service administration system, as well as assessing entitlements to pay, allowances, expenses, promotions, awards, and more. All activities must be carried out in full compliance with current Health and Safety Regulations and the General Data Protection Regulations (GDPR). Additionally, the role may require undertaking any other tasks as determined by the Line Manager, including providing support or cover for other staff as needed.

Candidates must have administration experience, along with strong organisational and motivational skills and a high degree of integrity. A proven track record of delivering quality administration and service in a customer-facing role is required. The ideal applicant will be a persuasive and credible communicator, both verbally and in writing, with the ability to build and maintain close working relationships. IT literacy and a solid working knowledge of Microsoft Office applications are essential. Familiarity with MOD personnel administration applications and systems is desirable. The role also demands a proactive mindset, the ability to embrace and lead on change, and the flexibility to manage last-minute changes to requirements and deadlines. MOD security clearance and DBS Standard required (Proof of right to work in UK essential). The Contract operates a 37.5 hour working week between the hours of 0730 and 1700 Mon to Fri only. The employee will be required to wear approved company work wear.
