Line manager: Director – Greater China Travel Retail

Location:  Shanghai

Position Summary

This position reports to Director – Greater China Travel Retail. It provides support to the director and the team general admin requirements, coordinate presentations/analysis/reporting across various functions and sales activities, as well as on customer relationship maintenance.

Key Responsibilities / Accountabilities

1/ Act as interface for reporting/admin requirements between GTR and Greater China DF

Assist in the organization of team meetings such as Travel Retail Asia Executive Committee, including agenda preparation, transportation arrangement and other administrative supportAssist in the preparation of presentation materials, such as budget, strategic plan, customer review, business meetings, etc.Assist in the consolidation of monthly finance report and Greater China meeting presentation materialsHandle sales report and specific ad hoc reporting requests, such as Depletion Report, Inventory report, A&P overview etc.

2/ Provide administrative/business support to Greater China Duty Free team

Organize team business appointments, handle expense claims and monitor team leave tracker. Follow up and compose routine correspondence/emails and memorandum and report etc.Handle travel booking and monitor T&E budget review for team;Assist all team members in applying for free goods to execute the events, customer dinners and promotionsSet up Greater China commercial meeting invitation and agenda. Share meeting minutes afterwardsWork with Greater China commercial and marketing team on data management project via smooth coordination between commercial, marketing and finance functions with strong commitment

3/ Provide trade marketing support to Greater China Duty Free team

Organize the order of GWP including POSM and miniature, and ensure GWP stock in and stock out to customersMonitor stock in and shipment of POSM and shipment of POSM for promotionSupport the team preparation for CDFG annual trade fairProvide mileage redemption support for key customers--CDFG and SunriseTrack at monthly basis China brand consultants deployment and replacement

4/ Trade A&P budget management

Adjust A&P and A&D(IFRS15) budget during rolling forecast exerciseEnsure trade A&P expense process in line with budget and time tableOpen Purchase Orders (PO) to align with the budget/rolling forecast and adjust PO information accordinglyReview with team to ensure the budget effectivenessMonitor payment request and track invoice/paymentSupport finance SSC team to track PR China recharge payment to HKMonitor Duty Free Hannan office related cost payment and trackingMonitor brand consultants monthly salary payment, and their relevant cost tracking

Internal: Greater China team, GTR Asia, GTR HQ, PR China Admin

External: Customers, vendors etc.

Qualifications and Requirements

Bachelor’s degree in Business Administration, Marketing, or a related field3-5 years of experience in sales support, preferably in FMCG sectorStrong analytical skills and proficiency in data analysis toolsExcellent communication and interpersonal skillsAbility to work independently and proactivelyAttention to details is essentialProficiency in Microsoft Office Suite (Excel, PowerPoint, Word).Fluency in English and Mandarin is required
