Your Mission:
The Events and Travel Coordinator is responsible for the coordination and planning of Company and Franchise-related events and associated travel. Events include, but are not limited to company picnics/breakfasts, service awards, year-end meetings, New Colleague Orientation, Living our Brand Purpose, recruiting and corporate networking events, franchise services annual meeting, town hall meetings, committee meetings, annual STRAP meeting, manager rallies, and summits.
At the direction of the Manager, Events and Travel, the Events and Travel Coordinator will be tasked with researching and securing venues, partnering with various vendors, and ensuring timeline and budget requirements are met. In addition, the Coordinator will have responsibility for arranging business travel for colleagues, franchisees, and business guests identifying the most cost-effective and efficient travel arrangements and making necessary accommodations
How You’ll Make an Impact:
Responsible for executing event details including event headcount, seating, dining, entertainment, communications, vendor management, travel planning, and budget maintenance.
Partners with appropriate departments to ensure event objectives are understood and adhered to through the project. This includes technical and logistical / operational needs for events.
Assists the Manager, Events and Travel with communications and promotional materials for events
Conducts final inspections on the day of the event to ensure adherence to the Company’s standards.
Ensures all post-event responsibilities are completed in accordance with contractual obligations.
Performs post-event evaluation, including data entry and analysis to determine an event’s overall success and submit findings to key stakeholders.
As requested, conduct tours of the Ilitch Companies campus, i.e. FOX Theatre, Global Resource Center (GRC), Comerica Park and Little Caesars Arena.
Serves as a travel SME and a key escalation contact for colleagues, preferred suppliers, and business guests.
Researches and compares available travel, car rental, and hotel accommodations to identify the best available option for each travel request.
Ensure proper processes of all travel-related documentation, including expense reporting, travel reimbursement processing, vendor payments and distribution of itineraries.
Arranges travel accommodations for colleagues and business visitors including franchisees or job candidates.
For international travel, the travel coordinator works with the colleague to ensure all appropriate documents are submitted/prepared for travel (i.e. visas, passports, etc.)
Acts to ensure safe and efficient travel operations are observed in accordance with Company policies and guidelines.
Other duties as assigned.
Who You Are:
High school diploma required.
Minimum two (2) years’ experience in corporate travel, hospitality, marketing, communications, or related field.
Bachelor’s degree preferred.
Strong working knowledge of the travel industry is preferred.
Demonstrates critical thinking in decision making by considering the impact on interdependent functions and weighing cost/benefit.
Demonstrated ability to provide exceptional internal and external customer service.
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Ability to travel up to 30% of the time.
Computer skills: Proficient in Microsoft Office Suite to include Excel, Power Point and other computer skills required.
Where You’ll Work:
Works in an office environment. May involve work at off-site locations.
Ability to lift 30lbs with assistance to maneuver event materials as needed.
Occasional evening and weekend work may be required as job duties demand.
