Responsibilities NON-APPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Administrative Assistant BUSINESS TITLE: Travel Assistant FLSA: Non-exempt JOB SERIES: 0303 PAY LEVEL: NF-02 INTRODUCTION: This position is located in the Retail Operations Section of the Business Operations Branch, Marine Corps Community Services (MCCS), Camp S.D. Butler, Okinawa, Japan. The primary purpose of this position is to perform administrative and clerical duties in support of Tours Plus. DUTIES AND RESPONSIBILITIES: As an Administrative assistant, performs a variety of duties to support a comprehensive and versatile information, tickets, and tour program for military personnel, DOD Civilians, and their dependents. Work includes gathering and packaging information, assisting customers with international and domestic tour reservations, providing information, obtaining and selling tickets, collecting fees, dealing with complaints from patrons with tact and diplomacy. Serves as a cashier for external and internal customers following MCCS cash handling procedures. Accepts payment from customers for local tours, international tours, resort reservation, and discount ticket sales. Responsible for administrative support of the Tours + staff, provides day-to-day administrative operation of the facility, and answers multiple telephone lines. Coordinates package/tour development with deployed units to Okinawa and units on various camps. Responds to non-technical questions and/or requests made by telephone, to include in-office patrons. Coordinates the acquisition of supplies from the Business Administration support. Maintains the inventory of brochures and information sheets about local tours and island attractions. Responsible for the preparation and maintenance of a database of customer registrations for upcoming on-island tours. Makes reservation by telephone or fax for tour groups to visit local attractions, restaurants and special events. Coordinates bus pick-up schedule with MCCS Motor Transportation Branch. Responsible for filling out appropriate paperwork and copying required documents (i.e. passports, travel orders, etc.) for international tour customers. Calls resort hotels to ensure availability before booking reservation and accepting payment from customer. Sells tickets to area attraction or special events. Prepares daily activity report (DAR) and daily ticket inventory report on computer spreadsheet. Responsible for booking leisure travel utilizing the supplied web based software, this includes but is not limited to air, ground transportation, hotels, travel insurance, individual tours and/or cruises. Also maintains and correctly enters all required information in the administrative software for agents. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 30 lbs may be required. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC REQUIREMENTS: Must be at least 18 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school. (Valid documentation will be required upon hire.) A minimum of one year experience in responsible clerical support work, which demonstrates ability to perform the work of the position is required. Must have a minimum of 1 year of working experience within a customer focused environment, preferably within sales. QUALIFICATION REQUIREMENTS: Ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, be well organized and detail oriented, etc. Working experience in operating Microsoft programs such as Word, Excel, PowerPoint, etc. Possess excellent customer service, interpersonal skills, tact, and problem-solving abilities; a team player and actively looking for ways to help people. Have a strong command of the English language to include written and oral skills. Ability to communicate in Japanese, both orally and in writing, is highly desirable but not mandatory. Knowledge of local and international points of interest and up-to-date attractions and ability to spot opportunities for program growth and act on them. Knowledge and experience in public relations and the relationship of the military and local civilian community. Not a requirement but experience within the travel industry is strongly recommended. Main work location is Camp Foster, Tours+ office, but must be able to work at other Tours Plus locations as required. Must be able to complete Cash Handling Training Course before handling funds and a refresher course once per year. Must be able to accommodate a flexible work schedule to include weekend, holidays and nighttime; As well as working at outer offices. Must be able to complete all Travel Leader's training as required under the JSTP within six months. A valid Government Owned Vehicle (GOV) operator's permit may be requested for this position at the supervisor's discretion. If the supervisor determines that this position requires a GOV, the incumbent is required to obtain the license supervisor's written direction to do so. Inability to obtain or maintain the appropriate licenses may result in disciplinary action. Must be able to possess CPR certification. This activity is a Drug-free workplace.
