Job Description

The Field Support Group (FSG) is responsible for the contractor care piece, including onboarding, contract issuing, payments and risk management.

Within the FSG group, the TEA Team (Time and Expense Associate Team) was established to provide a specialized customer experience being responsible for contractor payments. This includes collection and processing of timecards, auditing and processing invoices for payments, managing reconciliations (including over- and underpayments) as well as payment corrections.

As a Time and Expense Administrator (TEA) you should be an active participant in the team with the ability to prioritize tasks in order of importance to meet deadlines, handle big volumes of data and process the contractor’s timesheets and invoices accurately. You should establish and maintain working partnerships within a fast-paced environment, whilst holding yourself and others accountable. A TEA is comfortable with deadlines and demonstrates a very high attention to detail.
 

Responsibilities:

Systems and Process Understanding/ Quality assurance

· Responsible for contractor payment process; including collection, verification and processing of time and expenses

· Responsible for data entry, validation of data and integrity for all information entered in the internal technologies

· Able to identify and extract key information from the internal technologies to support the strategic aims of the business

· Understands the impact of the TEA role and potential ramifications of it, ensuring quality and accuracy when processing time and invoices

· Ensures processes are followed to minimize financial risk on the business
 

Customer Experience

· Delivers an excellent customer experience to both internal stakeholders and external customers

· Acts as a point of contact for all internal queries in terms of payments and proactively seeks solutions, escalating where appropriate

· Partners with Business Support Associates to support the objectives of the team and office.

Qualifications

· Working knowledge of Excel

· Able to manage high workloads with ability to organise and prioritise whilst maintaining a high level of accuracy and attention to detail

· Natural team player with a high customer focus – willing to support at all times

· Takes own initiatives, is goal oriented, results driven and flexible

· Is accountable for their own work and works proactively

· Comfortable working with numbers and able to analyze data and trends of reporting’s on a basic level
