Temporary-Part-Time Filing Clerk

Position Summary:
The primary function of an employee in this part-time position is to perform semi-skilled clerical duties under the direct supervision of the Wastewater Superintendent. The employee will work a reduced schedule and is not eligible for full-time benefits unless otherwise specified.

 

Primary Responsibilities:

Sort and organize paperwork by alphabetical order, content, date, significance, or other relevant criteria. Review incoming documents, make copies, and distribute as needed. Create and manage records, ensuring accuracy, organization, and confidentiality. File paperwork in designated locations and apply appropriate security measures to sensitive documents. Convert physical documentation into electronic format through data entry or scanning. Respond to requests for file access and maintain accurate logs of borrowed documents. Monitor office supply inventory related to filing (i.e., folders, paper clips) and report shortages. Maintain an efficient filing system to support timely retrieval and updates. Perform other clerical tasks as assigned by the supervisor.

 

Experience, Skills, and Qualifications:

Minimum of 2 years of experience in a similar file clerk or clerical position. Experience working with filing systems (physical and electronic). Proficiency with Microsoft Office and standard office equipment (i.e., photocopiers, scanners). Strong communication skills in both oral and written English. Excellent organizational skills with strong attention to detail. Demonstrated reliability, discretion, and ability to maintain confidentiality. High school diploma or equivalent a plus (will consider students).

Working Environment

This position is primarily based in an office setting within a wastewater treatment facility. Working mostly indoors in a standard office environment but may occasionally enter areas of the plant where there is exposure to mild odors, humidity, ambient noise from equipment, and fluctuating temperatures typical of a sewer plant. The employee is expected to adhere to all safety protocols and use personal protective equipment (PPE) as required. The role involves maintaining concentration on detailed clerical tasks such as sorting, filing, and data entry despite occasional environmental distractions.
