Temp Administrative Specialist (Events)
Job Description We are looking for a Temp Administrative Specialist to join the Events and Programs team of our client in DC. This is a fully onsite position, and we are looking for someone who is flexible to work events that could be in the evenings or weekends. - Supporting the Chief Engagement Office, Communications Director, Gallery Director and Events Team – working directly with leadership o Responsible for making sure that any VIPs coming into the building for events, meetings etc. are given a good experience o Supporting scheduling for both internal meetings and external events - adjacent to events o Dealing with vendors – specifically with art curators o Basic calendar management o Processing vendor invoices – front end  If an invoice should be paid out of a specific budget, making sure that it flows through the right channels SPECIFIC DUTIES AND RESPONSIBILITIES • Maintain a conflict-free electronic calendar for the Chief Engagement Officer which may include arranging intricate meetings with Deans, Vice Presidents, Donors, and Prospects. • Proactively manage tasks and priorities for the Chief Engagement Officer to properly prepare for upcoming meetings, visits, and events, including making travel arrangements. • Draft letters to external constituents, Deans, and Vice Presidents, prepare final edits, and mail or distribute to appropriate individuals, both internally and externally. • Function as part of the client's external engagement strategy team for larger group projects. • Staff special events, helping with check-in processes, greeting and escorting VIPs and visitors. • Handle sensitive and confidential information with an appropriate level of discretion. • Coordinate other office services such as maintaining paper and electronic filing systems, purchasing supplies, and copying and distributing materials. Skills and Requirements - 3 years of professional administrative experience, minimum o Experience in an events adjacent role – experience with face to face interactions with VIPs o Experience with calendar management, logistics coordination for events etc. o Light experience with vendor invoices or accounting o Good writing and critical thinking skills Bachelors Degree
