Tech/Systems Support Analyst

Job Overview

This is an exciting opportunity to join a fast‑paced Talent Acquisition Operations team that supports the end‑to‑end onboarding lifecycle for new hires. As a TA Operations Coordinator, you will partner closely with TA Ops teammates, recruiters, hiring managers, HR, and other cross‑functional teams to ensure candidates move smoothly from signed offer to hire date. This role requires strong attention to detail, excellent communication skills, and the ability to manage a high volume of candidates while maintaining compliance and a positive candidate experience.

Job Responsibilities

Candidate Focus

Review each assigned candidate daily to ensure completion of all onboarding requirements.

Maintain a clear, accurate understanding of each candidate’s status and next required actions.

Communication

Proactively contact candidates according to established follow‑up schedules via email, text message, and phone to obtain outstanding documentation or provide guidance on remaining tasks.

Monitor the TA Ops Onboarding inbox and respond to candidate inquiries within one business day, providing clear guidance and next steps.

Operational Execution & Data Management

Update the Smartsheet system of record daily with accurate, timely status updates for each assigned candidate.

Ensure onboarding data is complete, accurate, and auditable across systems.

Identify delays, missing items, or risks to start dates and take action to resolve them.

Collaboration

Partner with teammates, recruiters, hiring managers, HR Shared Services and other stakeholders to move candidates through the onboarding process efficiently.

Escalate complex issues or exceptions to the appropriate team member or manager in a timely manner, documenting actions taken.

Support Talent Acquisition team as needed with administrative and/or Workday requisition management tasks.

Ownership & Compliance

Take full ownership of assigned candidate files from offer acceptance through onboarding completion.

Apply strong time‑management and prioritization skills to manage a high volume of candidates simultaneously.

Ensure compliance with all company policies and employment regulations, including I‑9 requirements, background screening, and drug testing processes.

Job Qualifications

Associate’s degree preferred or equivalent combination of education, training, and experience.

Prior experience in Talent Acquisition Operations, onboarding, HR operations, or a similar high‑volume, detail‑oriented role a plus.

Proven ability to manage multiple tasks and large candidate volumes without sacrificing accuracy.

Proactive and self-motivated to work through daily routine tasks without constant supervision.

Strong written and verbal communication skills, with comfort engaging candidates and internal stakeholders via email, text, and phone in English.

Comfortable with technology and able to navigate and understand multiple systems.

Customer‑service mindset with a commitment to delivering a positive candidate experience.

Amenable to work on Night Shift Schedule

Amenable to work on Hybrid set up with onsite training
