Job Description Summary

The Project & Development Services (PDS) business offers a full suite of offerings from Project Management, Building Consultancy, Technical Services, Sustainability Services, Cost Management, Workplace, Interior Design, Programme Management Office (PMO) and Design & Build to our clients.

We are seeking a global minded, highly organized, proactive, and resourceful Team Administrator to support the Head of a Business Unit (APAC & EMEA) and a dynamic team of Business Operations Executives. This role demands exceptional communication, cultural sensitivity, and the ability to manage complex schedules across multiple time zones. The ideal candidate is not only a strategic thinker and trusted partner, but also someone who embraces technology to drive efficiency, solve problems, and elevate team performance.

Job Description

About the Role:

Support to Head of Business

Manage complex calendars across global time zones, including travel, meetings, and events

Handle confidential correspondence and communications with discretion

Track key deliverables, deadlines, and follow-ups across strategic initiatives

Liaise with internal and external stakeholders worldwide on behalf of the Head of Business

Prepare agendas, presentations, and briefing materials for executive meetings

 

Support to Business Operations Team

Coordinate team meetings, workshops, and offsites

Maintain shared documentation, SOPs, and reporting templates

Facilitate onboarding and administrative support for new team members

Help streamline workflows and identify process improvement opportunities

About You:

Diploma or Bachelor's degree in Business Administration, Human Resources, Communications, or related field

Minimum 6 year of working experience, with at least 3 years as team administrator/business support, human resource, or similar roles

Excellent written and verbal communication and interpersonal skills

Ability to communicate effectively with stakeholders from diverse cultural and linguistic backgrounds, and adapting to working hours to accommodate meetings and deadlines across time zones

Self-starter who identifies and proactively resolves business issues by leveraging AI tools and other digital platforms to automate tasks, enhance productivity, and support decision-making.

Demonstrates high level of discretion when handling sensitive information.

Meticulous and detail-oriented self-starter capable of working independently while managing and prioritizing multiple tasks.

Skilled in Microsoft Office Suite, calendar tools
