Job Description Summary

Enable PSC PA BAU Team members and leaders to perform in their roles effectively and efficiently by supporting with the administration and reporting of the key talent management activities at the same time ensuring PSC PA Team’s high-level motivation and engagement.

Job Description

Other professional qualifications required for filling the position:

BSC/MSC degree required

3 years of administration experience is required (personal assistant, HR generalist, data management or finance is an advantage)

HR or Business Administration background is an advantage

Foreign language skills required for filling the position:

English language upper intermediate

Native Hungarian

Responsibilities of the jobholder:

Support all talent management activities

Ensure wider PA team engagement and motivation

Regular tasks:

Talent Management Reporting

Maintain talent register, team register, organizational charts

Maintain client allocation structures

Maintain DOA Smartsheet; AOP ID Smartsheet, Global resource List Smartsheet

Measure and analyse hiring efficiency

Measure and analyse talent turnover

Engagement

Manage and analyse direct reports’ line manager feedbacks, prepare analysis in Excel and create comprehensive PPT for PA leadership to review the results

Analyse leavers’ exit feedbacks in collaboration with PSC HR and prepare PPT summary of the results

Maintain role subgrade structure and skills matrix in Excel

Own standard JD templates quality for all PA roles, follow up necessary changes and updates, keep accurate record of the JD templates on Sharepoint

Support the PSC PA Team soft skills trainings coordination

PSC PA Team events coordination, budget reporting in Excel and on-site support for event preparation/organization (e.g. food/drink order management, room bookings, event invite set up in Outlook, attendance list checking, follow and coordination etc.)

Manage and follow up wider engagement action plans

Support the Global PA Newsletter project, lead the PSC PA Budapest Newsletter committee and coordinate quarterly Newsletter preparation efforts (e.g. content creation, collecting input/information from other regional teams, communication with PSC PA leadership for content development etc.)

Office & Team governance

Maintain relevant PSC PA team policies

Prepare agenda and slide decks for bi-weekly PA leadership and management meetings; prepare slide deck for quarterly PA Townhalls; taking meeting minutes as required

Maintain team specific outlook email address groups

Provide support for Head of PSC PA with support for team governance and administrational activities (e.g. scheduling non-direct report 1-2-1s, calendar management, activity organization support for clients/visitors, preparation of PA team seating plans etc.) 

Support office seat bookings and seating plan schedule maintenance

Direct talent acquisition project

Continuous update of Direct Talent Pool tracker

Phone screen talents, send out and evaluate role specific tests

Provide PA Team Leaders/Managers with suitable candidates, based on leader feedback forward the candidates application package to HR for interview scheduling as required
