Surgery Scheduler
Surgery Scheduler – Neurosurgery The Surgery Scheduler plays a critical role in supporting the Neurosurgery Department by coordinating and scheduling complex inpatient and outpatient surgical procedures. This position ensures surgical cases are accurately planned, all pre-operative requirements are completed, and communication remains seamless among surgeons, clinical teams, patients, and external partners. The ideal candidate is highly organized, detail-driven, and thrives in a fast-paced, high-acuity clinical environment. Surgical Scheduling & Coordination + Schedule complex neurosurgical procedures, ensuring accuracy across surgeon calendars, operating room availability, case length, and specialized equipment needs. + Coordinate multidisciplinary cases involving anesthesia, radiology, ICU teams, and external facilities as required. + Secure, manage, and verify operating room block time in alignment with departmental policies and guidelines. Patient Preparation & Communication + Provide patients and families with clear pre-operative instructions, preparation requirements, and surgery timelines. + Coordinate pre-operative testing, imaging, laboratory work, and medical clearances. + Act as the primary contact for patient inquiries related to surgical scheduling, preparation, and post-scheduling follow-up. Administrative & Documentation Responsibilities + Collaborate with financial clearance teams to obtain insurance authorizations, referrals, and surgical approvals. + Maintain accurate and timely documentation in the electronic medical record (Epic), ensuring compliance with Stanford Health Care standards. + Track surgical orders, consent forms, and pre-operative checklists to confirm cases are fully cleared prior to surgery. Collaboration & Operational Support + Work closely with neurosurgeons, advanced practice providers, nurse navigators, operating room coordinators, and clinic staff. + Identify and escalate urgent cases, scheduling conflicts, or barriers to care as appropriate. + Support schedule optimization, backlog reduction, and coverage planning to enhance departmental workflow. Additional Skills & Qualifications + Prefer someone with surgery scheduling experience + EPIC is a nice to have. Must have EMR experience + 2-4 years of administrative healthcare experience + Experience with scheduling, call center, new patient coordinators + This person will handle around 10-15 calls a day + Surgeries they are scheduling are complex and require connecting with cross functional teams Job Type & Location This is a Contract position based out of Mountain View, CA. Pay and Benefits The pay range for this position is $33.00 - $33.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
