Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions Job Specification This position is responsible for coordinating the daily operations of the Student Life department by communicating effectively and creating a welcoming environment for every individual and providing support to staff and students. Job Duties and Other Information + Create a welcoming and inclusive environment for all students, faculty, staff, and visitors in the Office of Student Life. + Communicate effectively within a diverse college setting, maintain open communication with supervisor and department staff, and relay communications in a timely manner. + Coordinate the daily operations of the department including handling department inquiries, managing incoming traffic, maintaining paperwork and material, providing general knowledge of the college, and overview of department during tours. + Issue student, faculty, and staff ID cards/name badges and maintain inventory of ID supplies. + Maintain the scheduling, cleanliness, and appearance of department conference rooms. + Assist with managing property inventory for the Office of Student Life. + Submit and track work orders for the department as needed. + Check mail and deliver paperwork on campus. + Coordinate Student Life webpages and updates. + Coordinate posting for the BPCC Bulletin and/or Campus Memo as needed. + Assist with processing and maintaining department financial records, purchase requisitions and check requests. + Process student service and talent-based tuition waivers to ensure eligibility and requirements. + Coordinate and maintain department events on the college’s online calendar platform. + Create forms and/or documents for department as needed. + Maintain all departmental display cases and bulletin boards. + Manage and ensure accurate timesheet submissions for office staff, extra-service personnel and student workers. + Direct and delegate tasks to student workers as needed. + Assist in the planning, coordinating and facilitation of student activities on and off campus, including delivering supplies across campuses as needed. + Promote department events/activities, student engagement, and campus involvement using various platforms including CANVAS, social media, text messages, and on-campus publicity. + Use Canva to create engaging graphics and media for calendar, social media, flyers, push cards, and C3 tys. + Develop, organize and implement student initiatives and programming that will promote high-quality student life experiences and holistic well-being. + Assist the Director of Student Life to ensure services and programs meet the needs of the student body, which includes the use of surveys to assess and evaluate department events and activities. + Provide administrative support for student organizations and organization sponsored events, including paperwork as needed. + Travel for department and/or with student/student organization to conferences, events, meetings, or activities when needed. + Maintain confidentiality of student information, records, and interactions, using sound judgement to determine when to involve the Director or appropriate staff for support or follow-up. + Use independent judgment, empathy, and strong interpersonal skills to calmly assess and respond to a range of student concerns. + Provide input to the Director of Student Life to establish short and long-range organizational goals, objectives, and operating procedures, monitor and evaluate operational effectiveness, and make changes required for improvement. + Serve as a liaison for the department in the absence of the Director or Program Coordinator and use independent judgement to make decisions that promote the efficient operation of the department. + Participate in position-related professional development by pursuing a higher degree, continuing education, or attending conferences and workshops. + Serve on College committees, assist other departments as needed, and attend designated events. + Other duties as assigned by Director, Program Coordinator, and/or Vice Chancellor for Enrollment Management and Student Services.
