**Position Summary:**
The Supervisor of Special Projects supports the Special Projects team in overseeing various small-scale and ad hoc projects related to construction, facilities, and operational efficiency. This role is responsible for tracking budgets, coordinating vendors, assisting in developing scopes of work, and ensuring successful project execution. This individual liaises between the field, finance, legal, and operations teams to support timely project delivery and compliance.
**Key Responsibilities:**
+ **Project Coordination:** Manage daily oversight of small capital and special projects across the portfolio; track milestones and update stakeholders regularly.
+ **Financial Management:** Monitor budgets, process invoices, and maintain cost control documentation.
+ **Contract & Documentation:** Assist in preparing RFPs, bid tabulations, contracts, and close-out documents.
+ **Vendor Relations:** Support procurement processes, coordinate third-party vendors, and ensure contract compliance.
+ **Communication:** Maintain clear communication with internal departments (Facilities, Merchandise, Operations, Construction - Billing and Admin, Portfolio, Legal, AP, Field Teams) and external stakeholders.
+ **Reporting:** Prepare reports on project status, budget variance, and close-out documentation.
+ **Compliance & Standards:** Ensure adherence to company policies, OSHA, and applicable building codes.
**Qualifications & Skills:**
· An associate’s degree is required; a bachelor’s degree in construction management, business, or a related field is preferred.
· 3+ years of retail store construction, facilities, or retail operations support experience.
· Familiarity with **CSI codes** , **AIA contract documentation** , and capital construction workflows.
· Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
o Microsoft Excel (advanced level – VLOOKUP, Pivot Tables, etc.)
· Preferred experience with **Lucernex** or similar project management software.
· Strong organizational and time-management skills with attention to detail.
· Proven ability to track and manage project timelines through established schedules.
· Strong interpersonal skills with the ability to collaborate effectively with cross-functional teams, including vendors, architects, engineers, contractors, and internal personnel.
· Ability to work independently while contributing to team goals.
· Excellent verbal and written communication skills.

+ Demonstrated ability to manage multiple priorities across departments.
+ Analytical thinking to support decision-making and problem resolution.
+ Exposure to contract negotiation or project controls.
+ Previous experience in a retail, distribution, or commercial construction environment is a plus.
