Job Summary:\rThe Accounts Payable Supervisor provides daily tactical supervision to a team(s) of direct reports responsible for the execution of numerous Accounts Payable functions including invoice processing, invoice payment and customer service operations. The AP Supervisor is responsible for employee training, coaching and development as well as monitoring work volumes, planning, coordinating, and reviewing work activities and work product and directing daily tasks to ensure all invoices are processed timely and accurately in accordance with department procedures, company policies and GAAP guidelines and that required internal and external customer service standards performance targets are met.\rCore Responsibilities and Essential Functions:\rSupervise a Team of Direct Reports:\r1.\tInterview potential new hires, make recommendations to AP leadership, and provide appropriate department- specific orientation for new employees.\r2.\tTrain staff on processes and procedures.\r3.\tCoordinate and approve time off for direct reports, ensuring proper coverage during employee absences.\r4.\tProvide first level performance coaching and make recommendations for corrective action when appropriate.\r5.\tPrepare and participate in the delivery of performance appraisals.\r6.\tProvide ongoing guidance and employee development activities\rSupervise Tactical Operations:\r1.\tSupervise the daily tactical operations related to invoice/expense report processing and AP customer service activities, assign work portfolios and prioritize work ensuring balanced workloads, cross-coverage, and timely completion of work product.\r2.\tBecome a SME on teams processes, procedures and system functionality and apply knowledge to provide team guidance.\r3.\tServe as the first point of contact for complex or escalated issues, applying analytical and critical thinking skills that lead to sound decisions and solutions.\r4.\tMonitor multiple work queues and teammates performance against targets, identify issues, root causes and propose solutions.\r5.\tAssist with AP month-end close.\r6.\tProactively communicate regarding anticipated and existing issues and challenges.\r7.\tHold regular team meetings.\r8.\tCommunicate with internal business partners and external vendors professionally and courteously at all times.\rOther Ongoing Responsibilities:\r1.\tContribute to the development of new and/or enhanced processes and procedures.\r2.\tCreate and maintain current SOP documentation.\r3.\tPrepare job aides.\r4.\tParticipate in UAT for system upgrades and enhancements.\r5.\tPrepare standard and ad hoc reports for management.\r6.\tMiscellaneous small projects and other duties as assigned.\rPerforms other duties as assigned\rComplies with all Wellstar Health System policies, standards of work, and code of conduct.\rRequired Minimum Education:\rHigh school diploma\requivalent.\r\rRequired Minimum License(s) and Certification(s):\rAll certifications are required upon hire unless otherwise stated.\rAdditional License(s) and Certification(s):\rRequired Minimum Experience:\rMinimum 5 years Full-cycle Accounts Payable experience in a large, high volume, deadline-driven, paperless workflow, 3-way match environment. Three years of AP Supervisory experience leading a team of 7+ associates. Experience with large ERP system, e.g. Workday (preferred), Oracle, SAP, JDE as well as OCR and invoice workflow platforms.
