The Office of Finance and Support Services provides comprehensive accounting services, including financial reporting, analysis, budget development and preparation for the Division of Administration and various offices and agencies within the executive Department. The services provided by OFSS involve a range of agency responsibilities for implementing financial operational policies and procedures, preparing and monitoring all budget functions and providing monthly and annual financial statements to ensure accurate and timely financial services. The work is performed in compliance with state, federal, grant specific and office rules, policies, and procedures and are reviewed on the basis of results, reports and outside Independent audit, both federal and state. The Division of Administration is the state government’s management arm and the hub of its financial operations. Division offices perform a wide variety of activities including the following: + Overseeing the state’s capital construction program + Working to provide state and federal grants for community development + Development of the state budget + Providing technology services + Giving agencies guidance in the state purchasing and contracting process as they seek goods and services + Administering a program that provides federal funds to help Louisiana residents recover from a series of devastating hurricanes Job Duties and Other Information The student worker will serve as support to the Administrative Assistant of the Office of Finance and Support (OFSS) during peak times. As such, the student worker must be dressed in attire that is neat in appearance and appropriate for this position. The job duties will include, but not be limited to the following: A. Provide administrative and technical support for OFSS, including but not limited to retrieving and sorting the mail, logging checks, scanning and copying materials in a timely manner, filing and organizing routine paperwork, setting up meetings and running errands. B. Perform related duties as required for efficient operation of the office, including but not limited to the preparation of special projects and reports, compilation of data from various sources into final format, and editing and reviewing a variety of material and data for completeness, accuracy and adherence to agency standards. C. Perform clerical tasks such as answering phones, taking messages, and greeting visitors. D. Assist in maintaining office supply inventory. E. Perform other tasks as assigned by management. Other general office duties: Also, a student worker may be assigned other tasks to meet the specific needs of the various sections with OFSS, including Cash Management, Cash Disbursements, Financial Reporting, and Budget. This includes assisting with various projects, such as research support, data compilation, and check deposits. Required Job Skills: The student worker must be able to type accurately; must have a familiarity with computers and possess a working knowledge of Microsoft Word and Excel; must be able to take accurate phone messages; must maintain confidentiality; and must have good communication, interpersonal, time management, and organizational skills. The student worker is expected to follow instructions, both written and verbal, and adhere to established procedures and guidelines. Hours per week: The student worker must be able to work a minimum of 10-15 hours per week. Louisiana is a "State as a Model Employer" for People with Disabilities. A full-time student retains their status during breaks, which occur in the course of or between session, including summer breaks. Pay will be hourly and based upon the student’s major and classification within their program. Flexible work schedule between hours of 7:00 a.m. and 4:30 p.m. Monday to Friday.
