Student Services Generalist, MSTP

The University of Virginia's Biomedical Sciences (BIMS) Graduate Programs Office in the School of Medicine provides a high level of administrative support with student processes, as well as guidance and encouragement for the students from the time they apply until they earn their degree. We seek a Student Services Generalist to help administer the Medical Scientist Training Program (MSTP), the combined MD/PhD program in the School of Medicine.

In coordination with the MSTP co-Directors and other program leadership, this position provides leadership and execution for a range of duties related to this student population including, but not limited to, admissions, career counseling, financial aid, course registration, and graduation. They maintain records of all students served and services provided, collaborating with strategic academic leadership to implement direction and vision for student services. The highly collaborative nature of this position requires the Administrator to juggle the priorities of many stakeholders (students, faculty, staff) while ensuring all priorities, assignments, and expectations are clearly communicated, understood, and met.  The MSTP Coordinator must be able to work both independently and as part of a team, and will have direct communication with students, staff, and faculty across the School of Medicine.  This position will begin as an onsite position. Once training is complete and relationships established, this may transition to a hybrid position with at least three days per week in the office.   This position will work closely with the BIMS administration team.  Although the daily work will be guided by the MSTP Directors, they will report to the GPO Operations Manager.

Responsibilities and Duties:

Interact directly with the MSTP co-Directors, Associate Directors, other faculty and personnel within the Graduate Programs Office to oversee the operations of all aspects of the MSTP Program that affect trainees.

Facilitate the recruitment and admissions process, coordinating with the MSTP co-Directors, Associate Director of Admissions and Medical School admissions staff.

Oversee student funding as MSTP students move through medical and PhD programs, partnering with the GPO Student Funding manager and BIMS Administrators to assure funding and academic transitions are accurate and coordinated.

Maintain program operations budget. Coordinate financial matters pertaining to trainees such as reimbursements and payments for MSTP-specific activities.

Support for trainees’ academic affairs (e.g. proper registration, informing trainees on university policies and corresponding with the University administration concerning trainees progress toward academic requirements).

Support student MSTP activities (e.g. primary responsibility for planning and execution of programmatic events such as annual retreat, visiting lecturers, etc. and support for student organizations).

Initiate and strengthen outreach to prospective students, including representing the MSTP at conferences to promote the program. 

Maintain website as a resource for current and prospective students.

As part of the BIMS administration team, assist the Graduate Programs Office with other duties associated with student support.

In addition to the above job responsibilities, other duties may be assigned.

Minimum Requirements:

Education: Bachelor's degree. Relevant experience may be considered in lieu of degree requirement.

Experience: At least two years of experience.

Preferred Qualifications:

Experience in advanced academic programs and fiscal coordination

Experience in supporting areas such as admissions, student records, and/or training grant administration

Proficiency with computers and software, such as Outlook, Word, Excel


Physical Demands: This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

This is a not a restricted position and is dependent upon project need, availability of funding and performance. Salary is commensurate with education and experience. This is an EXEMPT level, benefited position.
