Potomac Valley is seeking a detail-oriented and proactive Staffing Coordinator to join our team and drive operational excellence while delivering Care Beyond Compare. In this pivotal role, you'll strategically manage our nursing department's labor resources, ensuring optimal staffing levels, regulatory compliance, and seamless communication across all shifts.
Reporting to the Administrator and collaborating with the Director of Human Resources and Director of Nursing you'll be the backbone of our workforce allocation—ensuring our residents receive exceptional care through consistent, well-planned shift coverage.
What You'll Do
Scheduling Excellence
Create and maintain comprehensive 4-week master schedules for the nursing department
Align employee schedules with qualifications and patient care needs across all shifts
Respond swiftly to last-minute changes, callouts, and emergencies to maintain uninterrupted staffing
Partner with Unit Managers and nursing leadership to proactively fill open shifts
Analyze resident census and acuity levels to dynamically adjust staffing levels
Strategic Labor Management
Minimize agency reliance by prioritizing in-house staff utilization for cost-efficiency and care continuity
Monitor and manage pre-scheduled agency shifts, canceling promptly when in-house coverage is secured
Track trends in tardiness, absences, and overtime, providing actionable insights to leadership
Proactively plan staffing needs using historical data and projected census
Technology & Systems
Maintain accurate data in our electronic scheduling and timekeeping software
Log all schedule changes, callouts, and shift swaps for payroll and analysis
Oversee employee enrollment in time clock systems and ensure protocol adherence
Communication & Collaboration
Serve as a liaison between staff, department heads, and administration
Participate actively in staffing and labor management meetings
Provide clear, timely schedule updates and communicate changes effectively
Report staffing trends and recommend solutions to leadership
What We're Looking For
Required:
High school diploma or equivalent
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Proficiency with technology and software systems
Ability to remain composed under pressure
Exceptional conflict resolution skills
Customer service-oriented approach with a friendly demeanor
Ability to work independently
Preferred:
Prior experience in healthcare staff planning
Experience with electronic scheduling and timekeeping software
Physical Requirements: Light to medium physical activity—occasional lifting/carrying up to 25 lbs.
