Sr. Leadership Administrative Partner

Role Summary The Sr. Leadership Administrative Partner will provide comprehensive administrative and leadership support to the Chief Financial Officer (CFO) and her leadership team within Rivian's Finance domain. This role will serve as the "go-to" person for complex calendar and inbox management, organizing team-building and social events, arranging travel, submitting expenses, setting up internal and external meetings, and other administrative duties. The ideal candidate will possess excellent written and verbal communication skills, exercise mature and professional judgment, operate at a senior level with confidentiality and discretion, have experience working with senior leadership, and demonstrate outstanding time management and prioritization skills. This role is located in the Palo Alto Office with a requirement to be in the office. Responsibilities Leading a high volume and complex calendar for the CFO and possible support of other VP’s within the leadership team. Prioritizing appointments, meetings, conferences, and travel arrangements with exceptional attention to detail. Arrange complex domestic and international travel logistics, including flight accommodations, ground transportation, and detailed itineraries. Expenses – enter and own all expense reporting using internal systems, ensuring accuracy and timely submission. Document Management & Workflow: Support securing the CFO’s signature on all necessary financial, legal, and operational documents, ensuring swift and accurate completion. Organize and maintain highly confidential files and records, both physically and electronically. Meeting Preparation & Support: Prepare comprehensive materials for meetings, including pre reads, presentations, reports and agendas. Attend meetings as needed to take detailed notes and track action items, ensuring timely follow up. Organize and prepare material and set up investor calls for earnings calls. Lead ad-hoc projects to support the team’s needs. Maintains a strict level of complete confidentiality with a high volume of confidential information, particularly related to Rivian Financial Information. High level Communication Liaison: Act as the primary gatekeeper and liaison for the CFO, effectively managing incoming and outgoing communications, drafting correspondence, presentations, and other documents with precision and polish. Team Collaboration: Collaborate effectively with other executive assistants and departments to ensure seamless operational flow. Relationship Management: Foster and maintain strong professional relationships with internal stakeholders, board members, external partners, and clients on behalf of the CFO. Qualifications Bachelor’s degree or equivalent experience required. 7+ years of experience in an administrative role, preferably in the tech industry and supporting C-suite and Sr. leaders in a fast-paced technology environment. Advanced Google Suite and related apps, plus an ability to become familiar with company and/or task-specific programs and software. Familiar with utilizing AI for process improvement and efficiency. Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities. Can often operate independently, without needing detailed instructions. Highly organized and able to prioritize under pressure. Experience interacting with external stakeholders such as Board of Directors, Investors, Banks, etc. Ability to multi-task in a fast-paced environment and anticipate last-minute changes. Team player. Demonstrated ability to work both independently and as a collaborative team member. Ability to familiarize yourself with content, people, and processes, for quick adjustments and decisions related to CFO desk. Public Notary certification strongly preferred. Financial background or supporting a Finance Executive a plus. Pay Disclosure Salary Range for Palo Alto, CA based applicants: $107,000 - $133,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).
