Sr. Facility Executive

Key Responsibility of Site Lead/Sr. Facility Executive

1. Client Relationship & Contract Management Act as the primary point of contact for client interactions. Build and maintain strong client relationships. Manage contracts and service-level agreements (SLAs). Address client concerns and ensure service satisfaction.  

2. Visitor & Access Management Coordinate with the building team for visitor entries and promptly resolve related issues. Ensure a smooth visitor check-in and security procedures.  

3. Creative Communication & Presentation Design and develop professional presentations (MBR, site induction, initiatives, etc.). Create and distribute concise, informative communications for advisories, notices, and facility guidelines.  

4. Employee Induction & Engagement Conduct office tours for new joiners to ensure a smooth onboarding experience. Assist employees with workspace and resource-related requests.  

5. Material Movement & Inventory Management Manage inward and outward material movement, including gate passes. Monitor and maintain records for housekeeping, pantry, and stationery supplies. Ensure availability of first aid kits and manage lost-and-found records.  

6. Facility Inspections & Reporting Conduct regular floor inspections and submit reports within governance timelines. Maintain registers and prepare monthly operational reports.  

7. Vendor & Stakeholder Management Develop strong relationships with vendors to coordinate facilities work. Collaborate with stakeholders to ensure seamless service delivery.

8. Repair, Maintenance & Asset Management Handle minor project works, track progress, and coordinate with consultants and suppliers. Track asset inventory and health checkups, ensuring PPM (Planned Preventive Maintenance) is completed on time. Coordinate with AMC vendors and suppliers for timely delivery and budget forecasting.  

9. Compliance & Governance Ensure adherence to labor compliance, site procedures, building compliance, and landlord regulations. Follow company guidelines, procedures, and ethical standards.  

10. Audit & Certification Management Provide support for audits and certificate renewals as required. Ensure site readiness for audits.  

11. Health, Safety & Fire Safety Upload all documents in ESG, iAuditor, ORSS, Intelex, and incident reporting systems on time. Conduct CPR training and coordinate fire safety/fire drill training with the builder per local Fire NOC authority norms.  

12. Internal Event & Collaboration Management Oversee planning and execution of internal events, collaborating with internal teams and external vendors. Conduct post-event analysis to assess effectiveness.  

13. Invoice & PO Processing Management Create POs in the TEP Oracle System. Collaborate with suppliers to ensure invoices are processed within agreed timelines. Verify and upload invoices in the Marview System on time for further processing.  

14. Front Desk & Help Desk Management (Where no FOE) Manage the reception area, ensuring cleanliness and orderliness of common spaces. Proactively manage Help Desk/Service Now services to achieve or exceed key performance indicators (KPIs). Regularly report Help Desk outputs to stakeholders and address operational challenges.
