Description
We are looking for a highly skilled and proactive Sr. Executive Assistant to provide exceptional support to our dynamic CHRO. This position offers an excellent opportunity for a meticulous individual to manage schedules, communications, and administrative tasks with precision. Ideal candidates will have a proven track record of supporting executives in the financial services sector while utilizing advanced technology tools.
Responsibilities:
• Manage complex calendars, including scheduling meetings, conference calls, and events for senior executives.
• Coordinate and prepare for virtual and in-person meetings using tools like Zoon and Teams.
• Handle travel arrangements and expense reporting through systems such as Concur.
• Monitor and manage timekeeping processes using systems like Kronos and About Time.
• Draft, review, and distribute clear and concise correspondence and communications.
• Serve as a liaison between executives and internal/external stakeholders, ensuring clear communication and follow-up.
• Maintain and update CRM systems to track key contacts and engagements.
• Organize and prioritize tasks to ensure deadlines are met and executive needs are anticipated.
• Provide administrative support for special projects and initiatives as assigned.
• Uphold confidentiality and professionalism in handling sensitive information.
Requirements • A minimum of 5 years of experience as an Executive Assistant, preferably in the financial services industry.
• Proficiency with tools such as Cisco Webex Meetings, Concur, and CRM systems.
• Experience with timekeeping systems like Kronos or About Time.
• Exceptional organizational skills with the ability to manage multiple priorities effectively.
• Strong written and verbal communication skills, including detailed correspondence.
• Proven ability to handle confidential information with discretion.
• Expertise in calendar management and scheduling across multiple time zones.
• High level of proficiency in Microsoft Office Suite and other relevant software. TalentMatch®
