Sr. Executive Assistant
Description We are looking for a highly organized and proactive Sr. Executive Assistant to support Director in Crest Hill, Illinois. This Contract-to-permanent position involves assisting with the coordination and management of public works programs, including wastewater treatment plants, municipal water distribution, and infrastructure projects. The ideal candidate will excel in administrative tasks, strategic planning, and communication, while ensuring compliance with state and federal regulations. Responsibilities: • Provide administrative support to the Public Works Director by planning, organizing, and overseeing departmental programs and operations. • Assist in managing wastewater treatment plants and municipal water systems, ensuring compliance with Illinois and U.S. regulations. • Coordinate sampling data and prepare required reports, including lab results, for state and federal agencies. • Draft strategic plans for departmental management, staffing, budgeting, and capital improvements, including preparation for extreme weather conditions. • Schedule meetings, prepare agendas, record minutes, and maintain accurate documentation. • Process payroll, manage work schedules, and oversee time-off and overtime tracking. • Prepare purchase orders, maintain office equipment, and manage supply inventory. • Process invoices, generate budget reports, and assist in forecasting financial needs. • Interact with engineers, contractors, consultants, and developers to provide direction and support for projects. • Respond to public inquiries and provide information regarding Public Works activities, policies, and procedures. The salary range for this position is $26 to $29. Benefits available to contract/temporary professionals, include medical, vision, dental, and life and disability insurance. Requirements • Proven experience in executive-level administrative support, preferably within municipal or public works environments. • Strong skills in calendar management, scheduling, and correspondence. • Excellent communication abilities, including composing detailed memorandums and correspondence. • Familiarity with strategic planning and budget management processes. • Proficiency in processing payroll and managing work schedules. • Ability to coordinate with engineers, contractors, and consultants effectively. • Knowledge of compliance requirements for state and federal water and wastewater regulations. • High level of organizational skills and attention to detail in administrative tasks.
