About the Role:

The Sales Support Senior Representative provides high-level administrative support to the General Manager, VP of Sales, Executive Sales Directors (ESDs), and field-based teams while managing multiple priorities in a fast-paced environment. This role requires strong organizational skills, attention to detail, and the ability to work independently with general guidance.

Your Contributions (include, but are not limited to):

Provides comprehensive administrative support to the General Manager, VP of Sales and Executive Sales Directors

Coordinates and manages complex calendar scheduling, including ad hoc meetings and team events

Creates, edits, and formats professional PowerPoint presentations and other project documentation

Serves as a liaison between home office and field-based employees

Manages and tracks various projects and initiatives with minimal supervision

Coordinates travel arrangements and processes expense reports as needed

Maintains confidentiality while handling sensitive information

Assists with planning and preparation of sales meetings and company events

Provides backup support to other administrative team members as needed

Coordinates field sales sponsorship, exhibit, booth display and advocacy request process

Works closely with VP of Sales, Executive Sales Directors, Director of Sales Force Effectiveness, Sales Training and Director of National Accounts to develop annual budgets as well as budget tracking

Coordinates budget processes, invoices, manage multiple cost centers, vendors, internal routing (Coupa and Agiloft), creates and maintains annual cost analysis spreadsheet

Creates and manages field communication via periodic newsletters and conference calls

Manages the credentialing process for the field Sales and Market Access Teams

Coordinates with Training on the sales new hire process and provides ‘on-boarding’ support by working closely with numerous functional heads

Supports the field teams (Market Access and Sales Leadership) by being available to answer questions and provide direction to internal resources

Provides complex, diverse and confidential administrative duties for Sales Directors, Director of National Accounts and provides support to the department

Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio/visual needs, presentations, and food and beverage catering

Collects and prepares information for use in discussions and meetings with staff and outside individuals as well as department team

Other duties as assigned

Requirements:

BS/BA in business or related field is highly preferred and 6+ years of sales coordination experience working with senior management within and field teams, as well as customers, vendors, and other visitors, preferably within a commercial team. Requires experience with calendar management, project meeting and event planning and execution, preparation of executive level presentations, travel and expense report administration. Or equivalent experience, training, and/or certification OR

MS or MBA degree and 4+ years of relevant experience OR

Prior experience in a biotech/life science, pharmaceutical or related industry preferred

Exceptional organizational and time management skills

Advanced proficiency in Microsoft Office Suite, especially PowerPoint

Strong written and verbal communication abilities

Proven ability to handle multiple priorities and meet deadlines

Detail-oriented with strong problem-solving skills

Professional demeanor and excellent interpersonal skills

Ability to work independently and as part of a team

Experience supporting executive-level management preferred

Comfortable dealing with ambiguity

Continuous improvement mindset to develop new processes or enhance existing ones

Strong organizational, time and project management skills

Understanding of data analysis and forecasting methods

Exercises discretion and judgment regarding highly confidential internal and external communications and materials

Adaptability to changing needs and situations

Extreme attention to detail and ability to work independently on a broad variety of projects

Ability to anticipate, identify, and resolve problems in a timely manner

Ability to research, analyze, summarize, and report information in an effective manner

The annual base salary we reasonably expect to pay is $101,200.00-$146,550.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
