General Summary:
Under the general supervision of the Division Head, Physician-in-Charge, or Vice President (Leadership Salary Grade M08 / PHY 500 or above), the Senior Medical Secretary – Electrophysiology (EP) provides advanced secretarial, administrative, and medical operations support to the EP team and clinics across multiple Henry Ford Health locations. This role requires strong coordination, communication, and organizational skills, as well as a solid understanding of medical terminology and clinical processes. Principal Duties and Responsibilities:
Coordinates complex scheduling for Electrophysiology (EP) physicians across clinic and procedural areas.
Serves as the primary contact for phone call triage, message handling, and scheduling for EP clinics.
Supports daily operations at EP clinics and procedural areas at HFWY, HFWB, HFH, and Macomb locations.
Provides administrative and secretarial support, including preparing correspondence, reports, and presentation materials.
Gathers and synthesizes data related to EP operations and assists in preparing operational or physician-specific reports.
Communicates effectively with patients, physicians, and staff to ensure timely and accurate scheduling and follow-up.
Maintains a working knowledge of EP procedures, terminology, and clinical documentation practices.
May oversee or assist in training and directing lower-level clerical or administrative staff.
Orders office supplies and tracks expenses; may assist with basic billing or bookkeeping related to EP services.
Ensures adherence to regulatory and privacy guidelines when handling patient information.
EDUCATION/EXPERIENCE REQUIRED:
Requires a High School Diploma or a G.E.D. equivalent. One (1) year certificate from college or technical school with at least three (3) years of experience within an office setting; or five (5) or more years of related secretarial experience within an office setting required. Previous experience scheduling appointments/maintaining calendars required. Progressively more responsible related work experience necessary in order to gain in-depth understanding or organizational policies, procedures and operations, in order to assume a variety of high-level administrative details including arranging meetings and conferences without prior clearance, answering semi-complex correspondence, assembling highly confidential and sensitive information, answering questions of influential callers, and so forth. Proficient with medical terminology. Interpersonal skills necessary in order to effectively communicate with external and internal callers and visitors, often dealing with sensitive/highly confidential matters.
