Sr Conference Planner, Associate Engagement & Development

The Senior Conference Planner, Associate Engagement & Development will be responsible for partnering cross-functionally with the Conferences Operations Team to enhance and execute the Conferences Ambassador Program. This program provides Gartner associates outside of the Conferences team with the opportunity to experience a destination conference in a delivery support capacity while exploring the value and benefits of conferences for clients and prospects. The Senior Conference Planner will manage key components of the Ambassador Program from start to finish on 10+ conferences per year and will also, from time to time, support broader initiatives related to Associate Engagement & Development programs; programs that equip conferences associates with the tools they need to be successful in their roles.

What You Will Do:

Build relationships with key stakeholders across the business to assess conference needs, evaluate opportunities for new and existing business unit partnerships, and identify solutions to smart-scale the Ambassador Program across NA, APAC & EMEA regions. Partner with business units and Human Resources to source and vet all ambassador candidates. Maintain tracking system of attendance and feedback data from alumni and soon-to-be ambassadors. Own communication strategy, recruitment process, training resources, pre-conference kick-offs and office hours, and post-conference surveys for ambassadors. Develop trainings, tools, and resources to enable ambassadors to be successful in multiple conference delivery support roles.  Manage internal inbox to ensure ambassador questions are answered in a timely fashion. Partner with various Conferences Operations teams to ensure smooth, efficient, and positive experience for ambassadors, including registration and housing, travel, onsite training, etc.  Partner with Logistics team to ensure onsite ambassador staffing is consistent and aligned with conference needs and program expectations. Serve as onsite lead (or train onsite lead) to act as point of contact for all ambassadors onsite including facilitating kickoff meetings, daily check-ins, shift checks, continuous coaching and feedback, and escalating sensitive issues.  Support delivery of Associate Engagement initiatives in partnership with Associate Engagement & Development Managers Identify opportunities to continue to scale and expand the Conferences Ambassador Program. Measure and communicate the success of the ambassador program through evaluations, verbatims, and leadership feedback. Effectively educate non-conference associates on the role and requirements for conference delivery support, and see each conference through from start to finish.

What You Will Need:

Bachelor’s degree preferred3+ years professional work experience Project management and/or event management experience on detailed programs with multiple variables and dependencies.Ability to prioritize and manage multiple tasks in a high-performance environment. Consistent demonstration of integrity, collaboration, no-limits mindset, objectivity, and results driven Results-oriented drive and a solid work ethic. Solid computer and analytical skills: Excel and Sheets. Outstanding written and verbal communications skills with exceptional attention to detail. Superior poise and judgment, demonstrated “grace under pressure”. Comfort working with and ability to upward manage senior executives. Innovative approach to process and workflow with proactive problem-solving skills. Ability to efficiently prioritize and plan work activities in a dynamic work environment. Strong service ethic and consideration for people. Willingness to travel up to 20% of the time, including international travel.

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 54,000 USD - 84,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
