The Senior Administrative Assistant II provides overall administrative and project support to the NoveList team. This individual demonstrates good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Senior Administrative Assistant II works independently to handle a wide variety of activities and confidential matters with discretion.
This hybrid position requires working at least 1 day per week in the office located in Durham, NC, and the rest of the time can be remote.
What You'll DoManage office operations, serving as liaison between internal teams and external facilities, overseeing office access, space reservations, mail handling, supply inventory, and shipping supplies
Administer financial processes including monthly reconciliation and invoice processing, with regular reporting to stakeholders
Support product operations by processing payments, creating weekly newsletters, assisting with content projects, reviewing customer lists, and flagging accounts for further analysis
Support management team by compiling and distributing research reports, including research updates, industry trends, and user behavior reports
Coordinate team logistics such as subscriptions, cross-team meetings and events, support for social committee, documentation updates, and special projects, ensuring smooth internal communication
Foster team culture by managing employee recognition lists, ordering business cards, and participating in team-wide initiatives as a member of Team Fun

About You 7+ years of experience in an office environment3+ years of experience using Microsoft Office including Outlook, Word, Excel, and PowerPoint
Able to work in the office at least 1 day per week
High School Diploma
