Specialist, Lease Administration

General Summary

 

The Lease Administration Specialist is responsible for managing and maintaining lease documentation, ensuring compliance with lease terms, and supporting accurate and timely landlord payments. This role involves reviewing agreements, abstracting critical data, and tracking actionable items to ensure smooth lease operations. The ideal candidate is detail-oriented, proactive, and skilled at managing priorities in a fast-paced environment.

 

Essential Duties/Responsibilities

 

Receive, sort, scan, and file incoming paper and electronic documents.Review lease agreements, abstract key terms, and set up accurate payment schedules.Validate leases (paper and electronic) to ensure they are administrable.Research lease histories and related documentation to confirm accuracy, resolve discrepancies, and reference prior issues and resolutions within internal systems.Monitor and communicate critical dates (e.g., expirations, renewals, insurance obligations) to stakeholders.Calculate prorated rent, payment escalations, and termination fees.Maintain lease data across multiple platforms for accounting and operations use.Respond to inquiries via email and internal ticketing systems.Process changes in ownership, including reviewing documentation, updating records, and coordinating with stakeholders.Facilitate meetings and follow-ups regarding audits, ensuring timely resolution of outstanding issues.Prepare and deliver reports for internal departments as requested.Partner with cross-functional teams to research missing payments or documents.Perform lease payment audits and reconciliations.Identify and resolve discrepancies within lease language.Ensure compliance with national leasing policies and procedures.Support special projects such as data clean-up, migration, and amendment reviews.Other duties as assigned

 

Job Requirements

 

Bachelor’s degree or 2+ years of experience in accounting, bookkeeping, real estate, or lease administration.Proven ability to work independently while managing multiple priorities.Strong organizational skills with a sense of urgency and adaptability.Ability to interpret, summarize, and communicate lease requirements to stakeholders.Research & Analytical Skills – Skilled in investigating lease records, verifying site ownership, and resolving discrepancies using internal systems and historical documentation.Problem-Solving & Critical Thinking – Able to analyze issues, identify solutions, and resolve challenges with minimal supervision.Exceptional attention to detail with strong follow-through.Excellent written, verbal, analytical, and research skills.Experience in telecommunications is preferred but not required.

 

Working Conditions

 

Employee remains in the sitting position for prolonged hours. Employee is occasionally required to stand, walk, use hands to handle or feel objects, tools or controls; reach with hands and arms; talk and hear. Employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.Working conditions may include being in an open (shared) cubicle/workspace area.
