Job purpose
To assist the New Zealand business to manage equipment quality check and final sign off process before delivery.
Responsibility to provide support to the NZ business by managing the stock system and processes required for effective spare parts management.
Provide Health & Safety support to ensure business compliance in accordance with internal processes and external customer requirements.

Duties & Responsibilities
Parts:
Ensure parts/equipment under inventory are properly organised, accurately labelled and stored in accordance to designated location.
Handle and monitor day-to-day operations of warehouse including inventory stock accuracy.
Conduct physical inspection of incoming parts/equipment for any defects/damage.
Manually tally parts/equipment against PO/packing list and update inventory receiving of parts/equipment quantity; report any discrepancies to the relevant parties if any.
Inform relevant parties on stock arrival.
Ensure accurate and prompt system update and physical inspection for goods return.
Maintain good housekeeping within the warehouse area in accordance with standard safety procedure.
Raise spares job in Trane works system (DFSD) & fulfill the order in R12
Process and allocate parts to jobs. Provide pick/pack slips for effective stock control management.
Arrange delivery of parts sold to our customers.
Quoting for over-the-counter parts sales - any enquiries that come though via service sales engineers or web enquiries (training provided).
Update critical spares lists with new pricing and part numbers.
Monthly customers parts offerings sent to customer base.
Capture parts used in DFSD jobs
Liaise with customs or Trane shipping agents on parts arrival
Manage backlog reports and work with the Hub managers to ensure timely delivery of orders.
Invoice management: GR invoices as parts arrive, organize credit for missing or damaged parts.
Manager min-max stock levels in accordance with the ANZ process. Regular reviews and update of R12 system.
Prepare accurate stock take documentation for ¼ and monthly high turnover stock takes
Inform relevant parties on stock arrival promptly upon completion of receiving.
Ensure inventory/logistic documentations are filed and/or kept in well-organized manner for ease of reference.
Run OSMI reports as required and assist with the OSMI provision for the NZ business.
Other ANZ system processes and reporting requirements for effective management of stock.
Work closely with parts team for raising NIC & SIL tickets for parts inclusion
Logistics
Order tracking of equipment & parts ETA and regularly update stakeholders.
Equipment Quality
Equipment quality checks in accordance with Trane procedures.
Support the workshop staff in assigning and assessing work completed.
Maintain required registers for all equipment entering and moving around NZ.
Health & Safety
Inductions: ensure staff are inducted to site and certificates are current.
Customer online portal update: ensure that at least annually all updated information is provided, insurances, policies and staff induction accreditations.
Training management: in accordance with Gensuite reporting ensuring business compliance & certifications are current.
Contractor Management: ensure that all contractor documentation is current especially insurances.
Hazard reporting: provide details for toolbox meetings on H&S compliance metrics.
Specialized licenses and clearances: ensure e.g. AVSEC, Fonterra or MOJ accreditations are kept current. Liaise with stakeholders to ensure compliance.
ISO compliance: procedural reviews (Q096 matric) within the team are completed and
Acknowledged.
ISO compliance: tasks are conducted regularly e.g. office evacuations, first aid kit checks etc
ISO compliance action plan and delivery
ISO compliance annual audit documentation
Skills & Experience
Qualifications:
Certificate in business administration.
H&S qualification would be beneficial.
Experience:
Administration in a similar industry.
Work in ERP systems like Oracle, SAP, Netsuite, SIMPRO or Peoplesoft
Microsoft Excel intermediate to advanced level

Required Licenses:
Driver’s license
Minimum 2 years of relevant working experience
