What this job involves:
This position is responsible for coordinating events within Client's facilities and ensuring they are delivered as expected and required by internal organization business units including managing event access for VIP visitors, acting as interface between internal OUs and third-party vendors, and serving as internal touch point for organizations like FM, MAC, Assets, Meeting and Events, or Design and Construction. You will provide support to the Facilities team to maintain the site in optimal conditions in all processes related to soft services such as janitorial, food services, reception and mail room while ensuring on-going operation for food services, janitorial, Business Center and Front desk services. This role contributes to JLL's business objectives by supporting Facilities Manager to guarantee soft services continuity and compliance with response times defined on work orders response priority matrix, engaging and working closely with meetings and events team to provide support ensuring compliance with applicable events guidelines, procedures, templates, protocols and visitors policy, and acting as liaison between AMER Programs Leads and LATAM IFM team while nurturing conducive, responsive and proactive environment with high teamwork and co-operation spirit among partners.
What your day-to-day will look like:
Ensure on-going operation for food services, janitorial, Business Center and Front desk services while supporting Facilities Manager to guarantee soft services continuityEngage and work closely with meetings and events team to provide support ensuring compliance with applicable events guidelines, procedures, templates, protocols and visitors policyLeverage available guidelines and industry best practices to support soft services programs while critically assessing and adjusting overall work experience management planAddress and respond to sensitive situations while troubleshooting issues and seeking to remove barriers before, during, or after day to day activitiesRespond to potential issues that may arise during on-going soft services operation while ensuring right communication occurs with facilities teamsEnsure compliance with corporate events company policy, Janitorial, Food Services, Security, EHS and Facilities requirements and local applicable regulationsDevelop and implement effective supplies inventory controls including Janitorial, Food, and Office while conducting periodic inspections to ensure space experience is consistentDevelop and implement quality assurance controls for sensitive services such as Food Services and Janitorial to ensure vendor compliance with local regulatory work frame.Required Qualifications:
In-Progress or completed degree or equivalent from accredited university/school in Business, Hospitality or related career3+ Years demonstrated customer service and communication skills both verbal and in writing3+ Years Facilities Management experience including managing soft and events services in corporate offices and working with regional multinational companies2+ Years experience managing office and kitchenette supplies for large group of employees with experience working in Hospitality fieldFluent in Spanish and English with Portuguese as plusProven ability to think strategically with detail orientation and ability to analyze, problem solve, organize and manage multiple prioritiesDemonstrated follow up skills in fast-paced changing environment with ability to apply critical thinking and identify issues for problem solvingAbility to build strong relationships and influence others while working in cross functional environment.Preferred Qualifications:
Experience working with Windows, Word, Excel, and PowerPoint with ability to maintain request and approval records for accurate and timely information/documentationUnderstanding of ensuring ongoing communication with Client through WBR, MBR or QBR to drive awareness of programs initiatives, action steps and KPIsBackground in ability to forge and relationship building across various internal departments within organization • Experience acting as liaison between Programs Leads and IFM teams with understanding of communication and organizational skillsKnowledge of time management and ownership of deliverables with ability to nurture conducive, responsive and proactive environmentUnderstanding of managing event access for VIP visitors and acting as interface between internal OUs and third-party vendorsExperience with critical assessment and adjustment of overall work experience management plans changing needs.Location: Onsite
