The University invites applications from suitable qualified candidates for the post of Senior Administrative Officer in the newly created Academy for Mathematical Pedagogy, Learning and Innovation for First Year (AMPLIFY) in the Faculty of Science. AMPLIFY will be responsible for the coordination of first year courses in Mathematics and Applied Mathematics, involving several thousand students. The Senior Administrative Officer will be responsible for ensuring that all administrative processes associated with these courses are well-designed, effectively implemented and quality assured.
Brief Description
Key responsibilities include:
Manage all aspects of the administration of first year mathematics and applied mathematics established courses. Develop, maintain and quality assure efficient administrative and workflow processes and document management procedures aligned to university requirements. Train administrative officers in administrative processes and procedures to be used in AMPLIFY and monitor and quality assure their work. Serve as the primary point of contact between AMPLIFY, academic staff and service and support units in the University to access requirements and address problems. Manage all financial aspects of AMPLIFY, including processing payment requests and monitoring spending against the budget.Requirements:
A relevant Bachelors (NQF level 7) degree or equivalent. Five years of relevant work experience. Knowledge of front office roles and functions, preferably in a higher education environment. Knowledge of budgeting and financial reporting processes. Knowledge of quality assurance principles. High level of computer literacy, particularly in working with MS Excel, MS Word, SharePoint, and electronic document management systems. Ability to use a variety of online systems to accomplish administrative tasks, such as those related to procurement, approvals, human resources related activities, course activities (Learning Management System), and marks submissions. Ability to design and continually enhance workflow processes. Excellent organisational skills with the ability to prioritise, meet deadlines, and manage a number of activities in parallel. Ability to plan well in advance. Excellent time management, including strict adherence to deadlines. Fluent, precise, technically accurate and correct use of written and spoken English.
