Site Payment Analyst, Brazil

**Working modality: full time, home based in Brazil. Sponsor-dedicated.

The Site Payments Analyst and play a key role in ensuring accurate and timely payments to clinical trial sites.

Start-up Activities

Participate in Trial Oversight Meetings to gather updates on EDC structure and payment dependencies.

Set up country-specific fee templates and site fee schedules.

Coordinate with the Contract Manager to ensure payment terms are accurately reflected in the contract budget.

Provide feedback to CTM/CTL/PME regarding missing entries or discrepancies between programming and expected outputs during invoice request creation.

Study Conduct

Monitor and trigger payable items.

Track payment-related information and generate payment requests.

Send payment letters and communicate payment processes to sites, acting as the single point of contact (SPOC).

Validate invoices against completed services (via CTMS/CDMS or CRA confirmation) and contract terms.

Review invoice content, ensure accuracy in IVT, and initiate approval workflows.

Request updated invoices when discrepancies or missing information are identified.

Ensure compliance with GDPR by redacting personal data from site invoices when necessary.

Conduct financial reviews and support accrual reporting through relevant data and documentation.

Amendment Management

Update country fee templates and site payee information following contract amendments.

Terminate outdated fee schedules and implement new ones.

Reconcile payable items automatically when fees change and update flagged items as needed.

Study Close-Out

Ensure holdbacks are paid as per contractual agreements, in coordination with the CTM.

Confirm all outstanding invoices are settled prior to site close-out.

Monitor pending payment requests, including those not yet invoiced post-closeout.

What We’re Looking For

• Bachelor's Degree in Business Administration, Finance or related.
• 2 to 4 years of Site Payments experience.

• Fluent English (spoken, written and read).

• Computer skills including proficient use of Microsoft Word and Excel.

• Ability to understand electronic data capture including basic data processing functions.
• Good organizational and problem-solving skills.
• Ability to manage multiple priorities.
• Ability to meet deadlines.
• Ability to work independently on routine tasks and apply critical thinking to tasks with guidance, as needed.
• Ability to establish and maintain effective working relationships with coworkers, managers and clients.
