Job Description

The Settlement Coordinator serves as the lead expert for all accounting and ticket-related settlement matters within a transportation and logistics environment. This role manages the full settlement lifecycle, ensuring that carriers are paid accurately and promptly and that customers are billed correctly. The position provides a comprehensive, 360-degree view of back-office operations, including Bills of Lading, weight losses, detention requests, and accessorial charges. The Settlement Coordinator works at the intersection of accounting, operations, and customer service, turning complex documentation into timely, accurate settlements that keep business relationships strong and operations running smoothly.

Responsibilities

Verify the accuracy of load settlements based on carrier-submitted documentation.Review and analyze settlement discrepancies with customers and carriers to ensure correct billing and payment.Ensure efficient processing of loads from start to finish, maintaining a smooth settlement workflow.Monitor settlement timelines to maintain quick payment turnaround for carriers and accurate billing for customers.Follow up on proof of deliveries, accessorial charges, and weight losses to complete settlement files.Review and validate Bills of Lading for accuracy, completeness, and alignment with company policies.Process detention requests and related documentation in a timely and accurate manner.Maintain organized, up-to-date records of all settlement activities and supporting documentation.Serve as the primary point of contact for the Accounting Team on settlement-related issues and questions.Resolve discrepancies through clear, professional communication with customers and carriers.Address daily challenges that arise in the logistics settlement process and escalate issues when appropriate.Proactively identify and solve work-related problems to improve settlement accuracy and efficiency.Ensure efficiency in closing out loads and completing settlements in accordance with company procedures.Maintain and follow company policies and procedures in all settlement activities.Support continuous improvement efforts in settlement processes by suggesting and adopting best practices.Collaborate with other departments to streamline operations and improve cross-functional workflows.Manage and execute multiple tasks simultaneously in a fast-paced environment while meeting deadlines.Prioritize and plan daily work effectively to handle competing demands and time-sensitive tasks.Take ownership of work quality and outcomes, ensuring error-free output that aligns with company standards.

Essential Skills

Strong customer service skills with the ability to communicate clearly and professionally with carriers, customers, and internal teams.Basic accounting skills and comfort working with numbers to review, reconcile, and verify settlements.Entry-level, can be open to candidates with varied experience, including those coming from driving or operations roles.No degree required, with the ability to learn and apply job knowledge through training and on-the-job experience.Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.High level of accuracy, consistently producing error-free work that adheres to company policies and guidelines.Excellent attention to detail, with the ability to observe and analyze even the smallest aspects of tasks and documentation.Familiarity with accounting and financial systems gained through experience or training.Strong verbal and written communication skills to inform clearly and effectively.Effective problem-solving skills, with the ability to find solutions and deal proactively with work-related challenges.Persistence and follow-through to complete tasks despite obstacles or discouragement.Strong organizing skills to complete more work in less time through improved efficiency.Ability to multi-task and manage multiple assignments simultaneously in a fast-paced environment.Effective priority-setting skills to identify, prioritize, and plan tasks.Self-motivation and an internal drive to perform tasks to the best of one’s ability.Dependability, with consistent attendance and completion of scheduled work hours.Accountability and ownership of work quality, accuracy, and outcomes.

Additional Skills & Qualifications

Transportation or logistics industry experience, including experience with loads, carriers, and Bills of Lading, is preferred but not required.Experience using a Transportation Management System (TMS), with TMW exposure considered a plus.Bachelor’s degree from a four-year college or university is a nice-to-have but not required.TIA Certified Transportation Broker certification is preferred but not required.Experience in customer-facing roles, accounting operations, or settlement-related work is beneficial.Demonstrated ability to collaborate effectively across departments such as accounting, operations, and customer service.Comfort working with documentation related to detention, accessorial charges, weight variances, and proof of delivery.

Work Environment

This role is based in an office environment located in Lincoln and involves frequent computer and phone use. The schedule typically runs Monday through Friday from 8:00 a.m. to 5:00 p.m., with potential flexibility to work 7:00 a.m. to 4:00 p.m. depending on business needs. Work is primarily desk-based, with frequent sitting and constant use of hands and fingers for computer work. The position may occasionally require standing, walking, and lifting up to 20 pounds. The Settlement Coordinator works closely with accounting and logistics teams in a professional, fast-paced setting focused on accuracy, efficiency, and collaboration.

This is a Contract to Hire position based out of Lincoln, NE.

Pay and Benefits

The pay range for this position is $20.67 - $20.67/hr.
