Service Scheduler

About the role:
Based in Mulgrave, this is a full-time position reporting to the Service Scheduling Team Leader. The Service Scheduler will work directly with state service teams and liaise with Service Team leadership to plan work and organise fast, effective responses to unscheduled infection control machinery issues. The Scheduler will also collaborate with a small, dedicated team of peers, and support wider Healthcare associates by providing service-related information and detail.
On a day-to-day basis, the Service Scheduler will promote service excellence, deliver customer satisfaction, and provide the necessary support to achieve strong technical and administrative outcomes.
Our Service Team delivers vital frontline support for complex infection control machinery located across the country. This equipment supports critical medical processes in a wide range of health settings, including major regional and metropolitan hospitals, ultimately helping save lives and improve patient outcomes. The work is important and rewarding, and often busy, with priorities that can change quickly in response to customer needs.
The Service Scheduler is a key support role. The efficiency of the Healthcare Service Team depends on having a highly motivated and engaged individual who can communicate effectively with customers, service staff, and technical managers to ensure service requirements are met.

Key responsibilities include:
•    Schedule service work for technicians, predominantly within designated regions of Australia, with occasional broader responsibility across Australia and New Zealand.
•    Receive and log and plan in customer breakdown calls, sometimes escalating them to the technical leadership team.
•    Communicate with customers regarding the status of service work.
•    Monitor, organise, and prioritise workflow.
•    Develop and maintain effective communication between all departments.
•    Work closely with the Service Manager and Service Team Leaders to deliver the regional service strategy.
•    Assist with creating quotations for customer breakdowns.
•    Review completed service work to ensure it is ready for invoicing.
•    Maintain accurate and up to date records and contacts in the ERP system.
•    Liaise with the Purchasing and Logistics teams to ensure parts are ordered and available to complete service work on time.
•    Raise purchase orders for part and equipment suppliers.

You will ideally demonstrate:

•    Excellent attention to detail and strong time management skills.
•    The ability to multitask, adapt, and work unsupervised.
•    Excellent verbal and written communication skills.
•    A professional manner and strong telephone communication skills.
•    The ability to communicate effectively, problem solve and build credible relationships with stakeholders at all levels—both internal and external.
 

Preferred technical requirements include:
•    Previous experience as a Scheduler or Service Administrator in a broad and busy role.
•    Strong geographical understanding of Australia.
•    Experience in contract administration or service coordination.
•    Strong coordination and problem-solving skills.
•    High capability in managing competing priorities from multiple stakeholders.
•    Strong written and verbal communication skills.
•    High proficiency in MS Office (Outlook, Word, Excel), ERP systems, and reporting processes.
