Job Summary:
Trane has a new exciting opportunity to join our organization as a Service Project Administrator in our Texas/Gulf Service group.
Under direct supervision, the Service Project Administrator is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with the Area Service Manager and assigned service team members to ensure the timely completion of each project.
Responsibilities include the following and other duties may be assigned:
Coordinates with cross-functional team members to ensure the accurate and timely recording of project costs, including materials, timesheets, labor hour allocation, and daily reports; initiates invoicing for completed work; and prepares payroll documentation while managing technician applied and unapplied time.
Responsible for general administrative functions to include project costs are identified for processing service claims – concessions, Ship Product Defect (SPD), retrofit, labor warranty, purchase orders, for initiating invoicing.
Responsible for generating, interpreting, and printing various assigned reports.
Monitors account receivables invoicing status, reviews, investigates, and helps resolve billing disputes in coordination with internal teams and customers.
Communicates effectively with other team members.
Cross train for coverage of the Resource Coordinator position when staffing needs arise.
Qualifications:
One-year certificate from college or technical school; or six (6) months to two (2) years of related experience and/ or training; or equivalent combination of education and experience.
Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
Proven experience prioritizing tasks in order to meet tight deadlines within a high paced environment.
Experience with Microsoft Office programs.
Familiarity with the operation of Energy Management Systems, HVAC Systems and/or Temperature Controls preferred.
Flexibility to work overtime/ weekends, as required.
